Lifecycle Events
Lifecycle events are groups of activities that help manage services like employee onboarding and offboarding. These activities are organized into Activity Sets, which have specific conditions to trigger them. Some tasks may involve areas outside of HR's control, like setting up an office or creating ID badges.
Example for Onboarding:
- Only Indian-based employees need to fill out the Form 16. Employees from other regions won’t see this activity.
To Manage Lifecycle Events:
- Go to Lifecycle Events > Manage Lifecycle Events.
- Each Lifecycle Event has two tabs:
- Lifecycle Event
- Activity Sets
- The Activity Set contains all related activities.
Editing an Activity:
- Click the pencil icon to edit an activity.
You can also view the events in a classic layout.
Creating a New Activity
You can create four types of activities:
- Employee Activity: Actions employees must take, like watching a policy video.
- Fulfiller Activity: HR tasks, catalog items, or incidents.
- Approval Activity: Getting manager approval before sending an offer.
- Notification Activity: Sending emails to remind employees of important tasks.
After creating the Lifecycle Event, set up an HR service with the fulfillment type as "Lifecycle Event" and include the new event type you created.
HR Service Portal
The HR service portal is a user-friendly interface for employees to access their HR profile, services, tasks, and knowledge base.
- You can impersonate a user to see open cases and notifications.
HR Knowledge Management
Knowledge articles provide helpful HR information for employees, allowing them to find answers quickly and reduce repeated cases.
To Create a New Article:
- Go to HR Administration > Knowledge Management > Create New Article.
- You can set user criteria to control who can see the articles.
HR Service Catalog
Employees use the HR service catalog to request HR services. Not all services need a catalog item, but every catalog item must be linked to an HR service.
- Employees fill out their details using variables and variable sets.
- Click the edit icon to see catalog item details.
HR Dashboards & Reports
HR dashboards show key performance metrics, employee status, and HR cases.
Default Views for HR Managers:
- HR cases opened in the last six months
- Breakdown of active HR cases by service
- Active HR cases by assignment and state
- HR case transfer rates
- Lifecycle Events dashboards
Using Performance Analytics (PA): You can use the HR Performance Analytics content pack for predefined metrics and dashboards by activating:
- com.sn_hr_pa
- com.sn_hr_lifecycle_pa
HR Surveys
HR surveys are feedback forms that employees use to provide feedback on HR processes.
You Can Configure:
- The look and feel of the survey
- Conditions for when to send the survey
- Grouping questions by type through metric categories
- Scoring for each question option
Survey Results:
- Displayed as a scorecard with charts.
