How Do I Enter?

Jumping into the #BuildWithCreatorStudio challenge is simple. Here's how you can get started:

  1. Set Up Your PDI (Personal Developer Instance): If you don't already have Creator Studio in your environment, go to your ServiceNow Developer Portal and either log into or spin up a PDI. It’s free and easy! Just make sure you install Creator Studio.

  2. Build Your App: Now’s the time to create! Feel free to let your imagination run wild or keep it simple.

  3. Share Your Build: When your app is complete, submit a 300-word description, a video, or an infographic that explains what your app does, and your experience using Creator Studio. Be sure to share it on both in the comments of this blog and on social media using #BuildWithCreatorStudio

Terms and Conditions 

No purchase is necessary. #BuildWithCreatorStudio Challenge is open only to individuals at least eighteen (18) years old at the time of entry. The Challenge begins September 8, 2024, at 10:00 a.m. Pacific Daylight Time ("PDT") and ends on October 8, 2024, at 11:59 p.m. PDT. 

  

Entrants must respond to the official forum with a 1) Screenshot, graphic, or video showing their app built using Creator Studio or 2) a 300 minimum word description of the app they built with a screenshot using Creator Studio AND entrants must post their video or blog into the ServiceNow Community Developer forum here AND share it on LinkedIn or Twitter with #BuildWithCreatorStudio Challenge on their post AND the social media post will be linked to their forum post.  

  

The Submission must be your own, original work; The Submission must contain a relevant reason/response to the prompt of Creator Studio; The Submission must meet the format and size requirements of the social platform used to enter; The Submission must conform with any applicable social media platform terms. 

  

The prize includes the official 2024 #BuildWithCreatorStudio Mug, while supplies last. Government employees are excluded from receiving the mug but can participate in the challenge. The brand of mug may vary. Mug may take up to 4 weeks or longer to arrive once ordered. Approximate Retail Value (“ARV”): $15 USD. 

  

The ServiceNow Community reserves the right to access email data provided by the entrant in order to reach out to individuals who have completed the challenge. Entrants who have met the guidelines and have successfully completed the challenge will receive an email from ServiceNow with instructions on how to redeem the prize. I am excited to share that I have successfully completed the #BuildWithCreatorStudio challenge!

I had the opportunity to use ServiceNow’s innovative Creator Studio to build a simple Employee Asset Request application called "PC Bring Out-In Application". 

As we all get used to Hybrid working system that combines remote and in-office work. It allows employees to choose where they work, which can enhance work-life balance and productivity. But sometimes managing/tracking the PC (Asset) can be challenging. The PC Bring Out-In Application is designed to streamline the process for employees wishing to temporarily take their work computers home. This application automates the approval workflow to ensure that all requests are properly tracked for security and compliance.

The Workflow Process of this application is explained below in detail.

1. Employee Submission:
An employee fills out a form with the following details:
Computer Name: The name or identifier of the PC being taken out.
PC Bring Out Date: The date when the employee intends to take the PC home.
PC Bring In Date: The date when the employee plans to return the PC. Other Details: Other additional information such as reason for taking the PC home, destination, System updated date, Status of files stored in local. After filling out the form, the employee submits the request.

2. Initial Approval by Manager:
Once the form is submitted, the request triggers a workflow.
The first step in the workflow is sending a notification to the employee’s manager for approval.
The manager reviews the request and has the option to approve or reject it.
If Approved: The request moves to the next stage, where it is forwarded to the IT Security Team for review.
If Rejected: An email is automatically sent to the employee informing them that their request has been denied.

3. Approval by IT Security Team:
Upon manager approval, the IT Security Team receives the request for further review.
The security team checks compliance with company policies and assesses any potential security risks associated with the employee taking the PC home.
The IT security team also has the option to approve or reject the request.
If Approved: A final approval email is sent to the employee, confirming that they have permission to take the PC out and bring it back during the specified period.
If Rejected: A rejection email is sent to the employee, indicating that the request has been denied by the IT Security Team.

Benefits
Efficiency: Automates the approval process, reducing manual oversight and streamlining communication.
Security: Ensures that all requests are vetted by both the employee's manager and the IT Security Team, minimizing risks associated with taking work devices offsite.
Clarity: Provides clear communication to employees about the status of their requests, whether approved or denied.

I developed and implemented an efficient Onboarding and Offboarding Workflow in ServiceNow's Creator Studio. The Onboarding and Offboarding Workflow in ServiceNow's Creator Studio streamlines employee transitions by automating tasks, approvals, and notifications, ensuring efficient processes and compliance throughout.

Agenda for Onboarding and Offboarding Workflow:

Onboarding Flow:
1. Request Initiation:
Raised by HR, managers, or team leaders.
Initiated through a self-service portal or HR service request.
2. Employee Data Collection:
Gather employee details like personal information, Job Title, department, email ID, etc.
3. Hardware Requirement Form:
Include a dedicated section in the onboarding request form for hardware requirements (e.g., laptops, monitors, keyboards, accessories).
4. Approvals:
Pre-configured approval workflows for role-specific tasks (e.g., manager approval, HR approval).
5. Notifications:
Automated notifications are sent to employees for their onboarding.
6. Completion:
Once all tasks are completed and approvals are finalized, onboarding is marked complete.

Offboarding Flow:
1. Request Initiation:
Raised by HR, manager, or triggered by resignation, termination, or contract end.
2. Approvals:
Approval workflows for final paycheck, benefits processing, and compliance.
3. Asset Recovery:
Collection of company assets (laptops, monitors, keyboards, accessories).
4. Notifications:
Notifications to the relevant department (HR) for task completion.
5. Completion:
Workflow closes once all tasks are complete, ensuring data is backed up, and company assets are returned.

Hello everyone

I'm excited to share that I’ve built a new Expense Management Application using ServiceNow’s Creator Studio! This app is designed to improve the process of tracking, submitting, and approving expenses, with the aim to make it easier for employees to manage their expenses..

 

The application offers a user-friendly interface allowing employees to quickly submit expenses from the employee center portal and allowing categorization  (like travel, meals, or office supplies), and attach receipts. Creator studio allows us to automate the entire workflow, from submission to manager approval, ensuring that expenses are processed accurately and efficiently.

 

Using Creator Studio was a walk in the park. The platform's drag-and-drop functionality allowed me to set up a workflow and forms without having to code. I was able to create a fully functional app very fast.

Creator studio really allows building custom applications quickly and hassle-free for citizen developers.

I built an Event Management App using Creator Studio, designed to help people create their own events with step-by-step tasks, all initiated after manager approval. The entire process is automated within the Creator Studio interface, from requests and approvals to task management and notifications. Additionally, the app allows organizers to assign specific tasks to team members and track their progress to ensure all responsibilities are met on time.

 

This was my first experience using Creator Studio, and I really appreciate how quickly you can set up workflows and forms across different UI experiences to meet various needs. I’m excited to implement more features into the app, like a quick survey at the end of the event and the ability to share a completion report with the requestor!

I built the My Schedule application to simplify the process of project and activity scheduling for employees and managers. This user-friendly app allows employees to allocate themselves to projects and engagements that align with their skills and interests, making it easier than ever to take charge of their own schedules.
The request process enables employees to submit their schedules, which are then routed to their managers for approval, ensuring alignment with team objectives. This workflow fosters clear communication and accountability within the organization.
To enhance user experience, the application includes real-time notifications that keep employees informed about the status of their requests, allowing them to track approvals and any updates throughout the scheduling process.

Employees will be able to view a list of the following in different sections in the ‘My Schedule’: - Current project - Upcoming projects - Past projects - Non billable activities - that consist of current and future activities.
Employees will be able to view the following status against the project & demand: - Self allocated - - Billable Project or Internal Project - - Allocation Status (Approved or In review) - if self-allocated
Employees will be able to edit their allocation scheduled against a project
Employees will be able to un-allocate themselves from an allocation scheduled against a project. 
By streamlining resource allocation, My Schedule promotes efficiency and collaboration, ensuring that the right talent is matched to the right projects, ultimately driving productivity.
The Creator Studio platform made it incredibly easy to develop this application with its intuitive no-code interface, allowing me to build a fully functional tool in no time!

Features: 

Nomination Form: Employees can easily nominate their peers for recognition by filling out a simple form. This form captures essential details such as the nominator, nominee, reason for nomination, category of achievement, and date of achievement.

 

Approval Workflow: Once a nomination is submitted, it triggers an automated approval workflow. Managers or HR can review the nominations, add comments, and approve or reject them. Approved nominations lead to points allocation and notifications to both the nominee and nominator.

Points-Based Reward System: App features a points-based reward system that allocates points to employees for approved nominations. These points can be redeemed for various rewards, such as gift cards or extra days off, through a straightforward redemption form.

Benefits:

I’m thrilled to announce that I’ve created the "Submit App for Hackathon Challenge" application for the #BuildWithCreatorStudio Challenge! 🎉

 

This app allows users to effortlessly submit their application ideas or builds using Gen AI in ServiceNow for the Hackathon competition, where they can win exciting prizes and goodies. Submitted ideas will be reviewed by the leadership team through assigned tasks, and once those tasks are successfully completed, we’ll generate tasks to distribute prizes and goodies to the participants.

 

Here is how the flow works: -

  • Users can submit a request using the catalog item form created in Creator Studio. An assessment team member will open the playbook flow, follow the instructions, and mark it as complete for further action. A task will be created and assigned to the team to evaluate the application.
  • If the task is marked as "Closed Complete":
    - A new task will be generated to send goodies to the participant.
    - Once that task is completed, the assessment team will confirm the delivery of goodies, and the request will be updated to "Closed Complete."
  • If the task is marked as "Closed Incomplete":
    - The request status will be updated to "Closed Incomplete."

 

Building this app with Creator Studio was incredibly easy and streamlined the application creation process with minimal effort. I really appreciate how AES can be used to incorporate advanced features. The Process Automation Designer (PAD) is a favorite of mine; it allows for step-by-step processes that users can easily follow, with the flow organized into different stages for better clarity.

However, I’d suggest adding more activities and features, as well as making the interface more intuitive like the Flow Designer. I enjoy working with both Creator Studio and PAD!

Over the weekend, I jumped into the #BuildWithCreatorStudio event, aiming for a mix of fun and humor with this nifty developer tool. I created an application designed for those nights out of town when you need to seek permission from your partner.

 

I built a request form that covers all the essentials. The kind of form that ensures you won't be sleeping on the couch when you return. Let's break it down:

 

  1. **The Basics**: The form asks for details about your escapade. How long will you be gallivanting? What's the alcohol consumption limit? And where exactly are you planning to roam? (Because "I'll be somewhere" just won't cut it.)

 

  1. **Acknowledgments Galore**: Throughout the form, there are stern reminders—like that failing to follow the rules will result in dire consequences.

 

  1. **Validation Magic**: Thanks to Creator Studio, I sprinkled some text validation fairy dust. Number validation for fields. Check. But there are also Email, URL, and zip code validations that are made available too. No need to wrestle with regex in a client script. 🪄

 

  1. **Drag-and-Drop Delight**: The layout options in Creator Studio are like Tetris for forms. Drag, drop, and voilà! Organize your form elements wherever you fancy. It's like rearranging furniture, but without the heavy lifting.

 

  1. **Automation Simplicity**: The approval process is straightforward. Submit the form to your partner, and they'll either green light your adventure or give you the "maybe next time" look. I used a single decision and activity type—no grand theatrics here.

 

  1. **Reality Check**: Now, I admit, I was expecting the full playbook experience in the automation section. But alas, Creator Studio keeps it simple. There is A LOT of room for improvement, for sure.

 

  1. **Citizen Developers Unite**: This tool is like a cozy clubhouse for non-coding folks. If I wanted to add more bells and whistles, I'd venture into Workflow Studio or the classic studio app. But for now, this showcases simplicity.
