XML Export: XML export is used in ServiceNow to move configuration or records between instances (such as PDI to Test or Prod) while preserving sys_ids and relationships. It is mainly used for deployment, migration, and backup purposes.
XML Export Scenario:
You create a Business Rule in your ServiceNow PDI and need the same rule in another instance without rebuilding it. You export the Business Rule as XML from the PDI and import it into the target instance so the configuration, sys_id, and references remain exactly the same.
Excel (XL) Export: Excel export is used to extract list data from ServiceNow into a readable Excel file for reporting and analysis. It does not preserve sys_ids or relationships and cannot be used to move configurations between instances.
Excel (XL) Export Scenario:
You filter the Incident list in your ServiceNow PDI to show all high-priority incidents for the last month and export the list to Excel. The Excel file is then used by management to review incident trends and create reports, not to import data back into ServiceNow.
