A process owner wants to audit the emails for a Catalog Item. How can I see what emails may be sent during the workflow?
Edit: I know very little about this particular Catalog Item, and I'm not familiar with the messages currently sent in regards to it, (e.g. submitted, approved, rejected, etc.). I was hoping SNow had a tool that will parse out all emails that *could* be sent, and list them out for me, (all emails sent directly by the workflow, or events, or however else). Since it looks like that tool doesn't exist, I'll have to do it manually, which leads me to this question:
What are all the ways a Catalog Item, (workflow) can send/trigger an email? As far as I know, there are two ways, a notification in the workflow, and by creating an event which has a notification attached to it.
Thanks,
Patrick

Look at the Sent system mailbox folder. Just type Sent in the Filter Navigator
You can then filter by email subject, to, etc...whatever you need to find the particular emails sent by a specific catalog item.
Please mark this response as correct and/or helpful if it assisted you with your question.

Hi,
First, you'd want to review the workflow for that catalog item. Take note of any create event activity that is used to send a notification. Take note of any literal "notification" activity in that same workflow and look at the subject line for that notification.
If there's a create event activity that is used to fire a notification, then look at your notifications for the same table that workflow is on (usually that's the sc_req_item table) and look for any notification that is fired from the same event being triggered (there's a tab that says "when to send"...you'd look there).
Then for the notification activity that you took note of the subject line...go and look at your sys_email.list (type that in left-hand navigation) and search for any subject line with that same name.
Do the same for any notification that was sent from the notification table as well.

You can view them in the record's Activity stream. You just need to make sure they aren't filtered out:
It looks like this in the stream, with clicking 'Show email details' displaying the actual email body.

Hi there,
Can you clarify what you mean with emails sent by a workflow. Like a email that was triggered from a workflow, thru an event for example? Or do you mean email which was generated thru script in a workflow or the send email utility in a workflow?
If it's about the utility I can provide you some more info (). If it's just about if an email was triggered from a workflow... no clue 🙂
If my answer helped you in any way, please then mark it as helpful.
Kind regards,
Mark
