Hello Experts,
I am seeking advice on the best practices for modifying the out-of-the-box workflow. We have specific requirements to adjust the asset management workflow for our service catalog. Would it be better to create a copy of the existing workflow and modify that version to meet our needs, or should we directly modify the out-of-the-box version? Thank you for your guidance!

Are you saying that once deactivated, they cannot be reactivated? Are you sure about that?

You can copy the OOB Workflow and id required change the condition a bit so that it will trigger rather than OOB triggering. In this way you can keep both OOB and your Custom one without deactivating the OOB. If changing condition (tweaking) is not possible than deactivate the OOB workflow. In future if you require this OOB workflow again, make its copy and use it as you will not be able to Activate OOB one.

I am a little confused by your advice now. Can you elaborate a little more? Are you saying not to deactivate the OOTB workflow and just modify the copied version? What conditions suggest updating?

You want a new Custom Workflow not the OOB one- correct. Copy OOB workflow and if possible change triggering condition so that your one - Custom one will trigger rather than OOB one. If triggering conditions can't be change or needs to be exactly same as of OOB, you can deactivate OOB Workflow. In future if you require this OOB one (deactivated one) again then copy and use it. I hope it is clear now.
