Hi @brandonlab2 ,
CPQ stands for Configure, Price, Quote.
In ServiceNow, CPQ Configurator is the advanced product configuration engine used with Sales CRM, Quote Management, and Order Management. It helps agents and customers configure complex product offerings using guided attributes, product options, bundles, relationships, configuration rules, and real-time pricing.
Its role in Quote Management is:
1. A Product Catalog Administrator creates a configurable product offering.
2. The administrator defines:
- Product characteristics and options
- Child products and bundles
- Product relationships
- Configuration rules
- Pricing rules
- Required and optional selections
3. A blueprint is generated and published for the configurable offering.
4. When a sales agent adds that offering to a quote, CPQ Configurator opens automatically.
5. The agent answers the guided questions and selects the required options.
6. CPQ validates the selections, prevents invalid combinations, and dynamically calculates the applicable price.
7. The completed configuration is saved as a quote line item.
CPQ Configurator does not replace Quote Management.
The responsibilities are generally separated as follows:
CPQ Configurator:
Configures the product and validates available options, rules, bundles, and pricing.
Quote Management:
Manages the quote record, quote line items, revisions, approvals, customer presentation, PDF generation, acceptance, and quote-to-order conversion.
Product Catalog Management:
Maintains product specifications, offerings, characteristics, catalogs, categories, and relationships.
Pricing Management:
Maintains price lists, pricing plans, pricing matrices, adjustments, recurring charges, and one-time charges.
The CPQ Configurator is particularly useful when products have complex rules. For example:
- Option A requires Option B
- Option C cannot be selected with Option D
- Pricing changes based on quantity or selected characteristics
- A bundle contains mandatory and optional child products
- Customer answers determine the recommended product configuration
PDI availability:
The new ServiceNow CPQ Configurator is currently not included in the free Personal Developer Instance program. Therefore, you will normally not be able to activate and practise the complete CPQ Configurator in a PDI.
Some Sales and Order Management or legacy Product Configurator capabilities may be available depending on the PDI release and available plugins, but these should not be confused with the new CPQ Configurator introduced with the Zurich release.
For hands-on practice with the complete CPQ Configurator, contact your ServiceNow account team or partner team for access to an entitled sandbox, demo, training, or customer sub-production instance.
