Hi All,
What is the approval license used for? Can I have detailed explanation on this? I also want to know what would be the pros and cons if we have approval license and if we don't.

Sharan,
Based on your license agreement with ServiceNow (contact your local ServiceNow Sales Professional), Approver licenses grant the ability to "approve" a request. If you are in a license model that licenses approvers, then anyone approving a request (receiving an Approval Request and having to Accept or Reject it) will need an approver license.

for users with the approver_user role, so they have access to Approval records and can approve or reject them.
i.e. Change Approvals, Catalog Item Approvals or approvals on any custom tables etc.
PRO is your users can approve items, CON is I believe you can't have users approving items, though that may vary depending on your contract etc, best to speak to your account execs and check.

Thanks for your prompt response. One more quick question, right now we are not having any approvals for requests or any request items. The only part we are using approvers is in Change and that too we are adding approvers through workflow. Then they can approve the change even without the approver_user role. (I found out that by checking users under approver_user role). What would be your suggestion regarding approval_ user role? Little confused

Yep, licensing and how roles are used in the platform are different. If someone is performing approvals, even without the approval_user role, that doesn't necessarily mean you don't need an Approver License for them. This is something to discuss with your ServiceNow Account Executive. That said, if you want to enforce that approvals cannot be done without that the approval_user role, that's a technical discussion that we can assist with...
