Best Approach to Sync Asset Data Between Service Provider and Customer (Avoiding Excel-Based Process

Hello everyone,

We have a scenario involving two entities:

  • Company A – the customer
  • Company B – the service provider

We are working on a DaaS project where Company B sends weekly asset data in an Excel sheet, and Company A imports this data into the alm_hardware table.

The challenge is that the Excel reports from Company B have inconsistent or incorrect data. Because of this, the imported records are overwriting or mixing with previous data based on serial numbers, making it extremely difficult to roll back or identify the correct values across multiple weekly files.

Company A is considering proposing a new approach:
Instead of relying on Excel sheets, Company B would maintain a custom table in their instance, which would sync with a corresponding custom table in Company A’s instance. Company A would then load only the required asset/computer data (excluding accessories) into the alm_hardware table.

Given the situation:

Would this be a recommended or valid approach?

Or is there a better solution for managing this type of integration and avoiding data inconsistency issues?

Additional details:

  • Company B sends worldwide asset data with varying formats.
  • They currently push only partial asset data via API, which creates records directly in Company A’s ServiceNow instance.
  • Anything they cannot send through the API ends up in the weekly Excel sheet, which is the main source of issues.
