Finding a possible solution of preventing Duplicate serial numbers records generation in the hardwar

Hello Everyone,
I have a situation where our HAM operation team currently follow the below process -
- Let's take an example of, If Dell machines arrive at Depot so we do bulk upload for creating their records in the alm_hardware table.
- Then they go into the Asset (Hardware) and assign the user and notate the RITM and etc…
- Depot will perform pre-provisioning and the device will partially register with Intune (I believe this is where the Computer Table is picking up the Device, at this point the user still doesn’t have the machine, so in the case above it looks like it changed the status to unassigned)
- The Asset gets shipped to the user
- User logs in and the UPN shows up in Intune as it is Entra Joined.
Now the problem is, as due to this pre-provisioning the depot creates records in the hardware table via bulk upload and once the Intune find these new systems so Intune also create new records in the Hardware Model as well as alm_hardware table and for the same serial number there are 2 records are creating. I did some research and got to know that this could be reason of models are different in both the records. Please clarify if these 2 asset records are generating because of the models discrepancy and the solution can be, whenever the depot team does this bulk upload so they should look out the model's exact name in the HAM content library so when Intune also get the same model already exist so it will not create a new Hardware model record and this is how we can prevent from the duplicates Serial Number records ?
Please help if I am thinking the right way and suggest possible solutions.

Hello @prajjvalsingh90
You use only Intune & No other tool for discovery, correct?
Also, when doing bulk upload, you might want to look at the logs so that you can identify the problem & troubleshoot.
