Did you know that effective risk assessment can significantly reduce workplace accidents? Our innovative Health and Safety Risk Assessment tool is designed to do just that, offering a proactive approach to managing workplace risks.

- Configurable Risk Matrices: Tailor your assessments to meet regional compliance, site-specific, or industry-specific requirements.
- Pre and Post Control Analysis: Evaluate risk levels before and after control implementation to gauge effectiveness.
- Complementary to Advanced Risk Assessment (ARA): This feature is not a replacement for the Advanced Risk Assessment capability in our Governance, Risk Management, and Compliance (GRC) product suite, but offers an additional, user-friendly option for teams needing safety specific risk assessment capabilities.
Beyond compliance, our tool empowers safety teams to proactively identify and mitigate risks, ensuring a safer work environment. It's ideal for those who need an out-of-the-box (OOB) solution without the broader scope of our Advanced Risk Assessment (ARA) tool.
How to Use:
We have updated the Health and Safety Workspace with our new features, Job Safety Analysis and Health and Safety Risk Assessments. From the left navigation, users can now navigate between the applications.
To get started with Health and Safety Risk Assessments, you will need to set up your Risk Matrices, Hazards, and Controls. Hazards and controls are also used in our Job Safety Analysis feature.
Note this section is instructions for set up and updating your risk matrices, hazards, and controls. Health and Safety admins can make edits to these tables, but this process does not need to be completed with each risk assessment.
Navigate from the Health and Safety Workspace to Settings. Within Settings, Health and Safety team members can add/edit Risk Matrices, Hazards, and Controls.
How to Create a Hazard (sn_hs_rm_hazard):
Within the Hazards section, users can either view active hazards or all. To create a new hazard, select new.
Create a hazard by completing the name, short description, risk category, and location fields. The location information for the hazard is pulling from the wsd location table.
Once added, the hazards will be available to create a risk assessment or a JSA.
How to Create a Control (sn_hs_rm_control_measure):
Create a control by completing the name, short description, control measure category, and location fields.
Once added, the controls will be available when risk assessments and JSAs are created.
How to Create a Risk Matrix (sn_hs_rm_risk_matrix):
Health and Safety Risk Assessment Managers can create risk matrices tailored to their organization’s risk process. The risk matrix will be referenced during the creation of a Health and Safety Risk Assessment.
To create, complete the short description. Next select the matrix grid. The Numbers of the grid will determine the number of categories of likelihood x the number of categories of severity.
Using your own organizations’ levels of severity and likelihood, populate the fields. These fields will then appear during the Health and Safety Risk Assessment where the Health and Safety team member can select from these levels of risk.
Risk tolerances can also be added to the risk matrix. The amount of range tolerance levels defaults to the number of levels in the matrix, but additional levels can be added using the “add new risk level.” Ranges also can be adjusted using the dropdowns to define the risk tolerance.
How to Create a Health and Safety Risk Assessment:
To create a Health and Safety Risk Assessment, log in with a user who has been assigned the Risk assessment manager [sn_hs_rm.risk_assessment_manager] role. Navigate to the Health and Safety Workspace and select the Health and Safety Risk assessment view from the left side.
Complete the details portion, short description, and location information. The location table is pulling from the wsd location table.
Additional fields for your Risk Assessment process can be configured.
The only required field ootb is the “select risk matrix.” This is where the user will select from a list of the created risk matrices.
Once enough details are populated, click save to begin to walk through the risk assessment. A new tab will generate named “Risks and Controls.”
In Risks and Controls, the Health and Safety team member will be able to start their risk assessment.
First, choose which hazard the risk assessment is accessing.
Next, identify the severity before controls and likihood after controls. This is where those levels that we populated during the creation of the risk matrix appear.
Health and Safety team members can then identify the controls, the likelihood after controls, and the likihood after controls that need to be put in place to mitigate the harm of hazard.
Once complete, Health and Safety teams can then assign corrective and preventative actions. These actions work like corrective and preventative actions in Health and Safety Incident management.
Actions can be either corrective or preventative and can be assigned to different assignment groups to monitor completion.

Transforming Workplace Safety with Job Safety Analysis (JSA)
Have you ever considered how a systematic approach can drastically reduce workplace accidents? Job Safety Analysis (JSA) is that vital process. It's designed to identify potential hazards in high-risk activities and drive implementation of controls to prevent workplace accidents and injuries.

- Flexible Implementation: Safety teams can create JSA templates for specific tasks, or workers can generate a custom JSA on their devices for any task.
- Comprehensive Management Tools: In the Health and Safety Workspace, manage hazard and control lists, oversee JSA templates, and track all logged JSAs.

JSA is more than a compliance tool; it's a proactive step towards a safer work environment. It engages workers in safety practices, making them active participants in preventing accidents.
How to Use:
How to Create a JSA on Now Mobile
To make creating JSAs accessible for all employees, we’ve enabled JSAs to be created on either employee center or the Now Mobile app.
From the now mobile app, employees can create and view past JSAs.
Employees can enter the name of the JSA, the location, and the state and expiry date and time.
**Note on Employee Center, job templates are available for the employee to select and prepopulate hazards and controls. This is not available on the Now Mobile app.
Select from a list of hazards and controls. These are the same hazards and controls available in risk assessment.
Employees can choose one or many hazards. If the hazard is not available in the list view, there’s a free field the employee can use to type in the hazard.
Employees also can select one or many controls or fill in the free field for controls not available in the list.
Next, employees then can add any other employees that were present and informed during the JSA. This field is referencing the sys.user table.
The employee then can submit their JSA. Once submitted, employees can either view past JSAs or create additional.
How to Create a JSA from Employee Center
From the employee center desktop view, employees can also create JSAs. One difference with creating a JSA on employee center than on Now Mobile, is the ability to use a job template.
Under job type, employees can select prepopulated job templates that have been set up by the H&S team.
These are not ootb and need to be created in the Settings area of the Health and Safety Workspace.
Once the job is selected hazards and controls will pre populate. These hazards and controls can be edited using the “select hazards” to add more and the “x” to delete from the list.
Once the hazards and controls are complete, the employee can also add any additional details like informed employees, remarks, and attachments.
How to Create a Job Template (sn_hs_rm_template_:
To create a job template, log into the Health and Safety Workspace > Settings> Templates
Health and Safety teams can add hazards and controls that will be available when the employee selects the job template.
If a hazard or control is not available, navigate back to settings and add it within the hazards section. It will then appear to be added to the template.
December Patch
Enhancements:
- Disabling the playbook
- Hospital Address
Disabling the playbook
In our August release, we introduced the Health and Safety Playbook. This feature changed two things in Health and Safety Incident Management; the users experience and the underlying data model.
With the Playbook, users are guided through a step-by-step view to perform their health and safety investigation.
With this update, we also updated the data model to a 1:1 relationship between incidents and injuries. We also removed the findings and investigation workbench sections of Health and Safety Incident Management.
In the December Patch, to provide more flexibility to customers, we released a property to allow the playbook view to be turned off.
Once the playbook is disabled, customers can add multiple injuries to one incident.
To disable the playbook feature:
Search> Health and Safety Administration> Properties> “Flag to disable the playbook for Health and Safety Incidents” [sn_ohs_im_disable_playbook]”
Hospital Address:
Within our December Patch, we also updated the Hospital address field on the Injury and Illness form.
Prior to this release, the hospital location information was referencing the cmn_location table. We have now updated it to a free text field to allow for any hospital location to be entered on an injury/illness record.
