Health and Safety Incident Management
Plugin: Health and Safety Incident Management v10.0.0 [sn_ohs_im]
Persona: Employees, Managers and EHS Teams
Roles: No role changes
Offline Incidents and Observations:
To make safety digital and accessible for all worker types, we have enabled employees and managers to create incidents and observations while offline on their mobile device. Workers may be in areas of no connectivity or service but still require the ability to create incidents and observations so that key details are not forgotten. Using Now Mobile, workers will be able to create incident and observations that will sync and submit automatically once they regain service or connectivity.
Note: Offline functionality for incidents and observations is only available on the Now Mobile app
How to Use:
Note: When an employee is in an early of no connectivity or service, their phone will automatically switch to offline mode.
Now Mobile:
- Log in to Now Mobile with the [sn_ohs_im_requestor] role
- To report a safety incident select: Report safety incident
- To report an observation select: Report safety observation
- The requestor can then fill the incident or observation as they would if they have connectivity
- Submit
Once submitted, the record will be held in an outbox until the requestor regains connectivity. The sync will occur automatically, so the user does not need to manually submit after they regain service or internet.
How to Configure Offline Behavior:
- Configure the system properties for the offline mode behavior of the mobile application link to docs.
- Configure offline mode in the Now Mobile app for Health and Safety
- Enable offline mode for the Now Mobile App
- Log in as admin
- Select Now Mobile as the application scope using the application picker
- Navigate to All > System Mobile > Mobile Branding > Mobile App Configs
- Enable offline mode for the Now Mobile App
- Select Now Mobile
- Select the Offline enabled option to turn on the offline mode
- Select Update
2. Make the Now Mobile Home Page Available for Offline
- Select Now Mobile as the application scope in the application picker
- Navigate to All > System Mobile > Mobile app builder
- Search for Health and Safety Incident Management
- Select Mobile app configs
- Select Now Mobile
- Select Homepage then Open Record
- Select Available offline
Hint: Switch to the Now Mobile scope by selecting edit in original scope
- Save
- Turn on the offline mode in the Now Mobile app on your device
- Log in to the Now Mobile App
- Navigate to Settings
- Download Cache
Note: Period download of cache can be configured in the system properties docs
- Enable Offline Mode
Setting Up Offline Incidents and Observations:

Anonymous Reporting for Observations:
Part of creating a culture of safety is encouraging reporting. For some employees there is a negative association to reporting safety concerns for fear of retaliation or slowing down and impacting work. Encourage employees to report all safety concerns and observations including psychosocial concerns like behavioral changes or indicators of mental stress. In the May release, employees can now report safety concerns using the Anonymous Report Center. For customers utilizing HR Service Delivery, anonymous reporting for employee relations will be in the same Anonymous Report Center for consistency.
How to Use:
Employee Center:
- Log in to employee center with the [sn_ohs_im_requestor] role
- Select the Health and Safety Taxonomy
- From quick links, select Anonymously report a safety concern
Selecting the link will log you out of employee center so that the reporting is completely anonymous.
- Select Health and Safety concern
- Complete the report. This form is configurable to collect additional information.
Note: Since the reporting is completely anonymous, the employee reporting the safety concern will need to download a copy for their records. If they plan on following up they will need to report key and report number to find the record
Setting Up Anonymous Safety Concerns:
Health and Safety Incident Management [sn_hs_im_incident] will need to be downloaded or updated to (10.0.0) from the store into your instance.

Note: downloading this plugin does not require an HRSD license. Any HRSD files will not be downloaded if the specific HRSD plugins required are inactive
Geolocation Reporting for Incidents:
To support all employee types, we have enabled employees to report incidents and observations using the geolocation of their device. If an employee is traveling, working in the field, or in an environment that is not found within a building, they can accurately report their longitude and latitude. With enhanced accuracy of reporting where the incident or observation occurred, health and Safety teams will have improved visibility during their investigation process.
Note: Geolocation reporting requires a Google Maps API Business license.
- Once an API key is obtained, navigate to System Properties> Google Maps
- Under the property name google.maps.key input your API
- Save

How to Use:
Now Mobile:
- Log in to Now Mobile with the [sn_ohs_im_requestor] role
- Select Health and Safety
- Under Browse from all topics select Safety incident
- Select either Report Health and Safety Incident- Advanced or Report Health and Safety Incident- Basic
- Select Allow to allow the device to use your location
- Check the Use map location box
- Populate the rest of the incident or observation and select submit
Employee Center:
- Log in to employee center with the [sn_ohs_im_requestor] role
- From the Health and Safety Taxonomy select either Report Health and Safety Incident – Basic, Report Health and Safety Advanced, or Report Health and Safety Observation
- Select Use map location
This will pull from the user’s location and populate the street address in the fields below. If needed, move the pin to a different location.
Note: Make sure your device allows the location to be accessed
- Populate the rest of the incident or observation and submit
Health and Safety Workspace
From the Health and Safety Workspace, in observation and incident records Health and Safety teams can see the reported geolocation.

Inspections

Embedded Actions within Inspection Surveys:
Streamline the inspection experience with embedded actions in Health and Safety Inspections. From within the Health and Safety Inspection survey, users can create corrective, preventive, learning, and task actions and assign across the enterprise.
How to Use:
From either Now Mobile or Agent Mobile, employees can take scheduled inspections or create ad hoc inspections.
Now Mobile or Agent Mobile:
- Log in to Now Mobile or Agent Mobile with the [sn_hs_rm.safety_inspection_writer] role
- Under Quick Links select Inspections
- From the list of Inspections select an assigned inspection or use the … in the top right to create a new inspection
- If creating a new inspection, select the … and Create new inspection
- Populate details of the inspection record such as assigned to, inspection survey, and location
- Submit
- Once submitted, the inspection record will appear in the list view
- To complete the inspection survey, select the same record
- Select Open Inspection Survey
In the May release, actions have been embedded within the action survey to reduce the number of steps taken while completing an inspection.
- While completing an inspection survey, to create an action select Create action
Populate the action details in the embedded action record
- If there is a finding, populating the findings question field will automatically generate findings records
Upon submission of the inspection, actions and findings records will generate.
Within each list view of the records, existing records can be edited or new records can be added.
- For example select findings
Select an existing record or to create a new finding select the … at the top right of the screen
To close the inspection, navigate to details and select … in the top right
- Select edit inspection
Change the state to closed complete to finish the inspection survey
- Submit
Employee Center:
- Log in to employee center with the [sn_hs_rm.safety_inspection_writer] role
- Navigate to Health and Safety
- Select View Safety Inspections
- Open the assigned inspection survey by selecting Open Survey
Note: If a user is a part of the same group, but not assigned the survey the user can select “assign to me” and the inspection survey will reassign
- Select Get Started
- To the right is a new widget labeled “Create Action” employees can now create actions from directly within the survey.
- Select create action and complete the required fields. This will create a new action record as a related record to the inspections. Multiple actions can be created per inspection type
Complete the rest of the survey. Any added actions will be visible under the actions widget on the right side of the page.
Reassignment of Assigned Inspections:
For customers requiring flexibility in assignment, inspections can now be easily reassigned to anyone in the assigned to group by selecting “Assign to me.” Often employees are working in groups or shifts to take inspections and though one person will complete the inspection, the assigned to can change based on who is working.
How to Use:
Agent Mobile or Now Mobile:
- Log in to Agent Mobile or Agent Mobile with the [sn_hs_rm.safety_inspection_writer role
- Under Quick Links select Inspections
- Open an inspection record not assigned to the user that is logged in. Note the user needs to be in the same assignment group
- Select Assign to me
Once selected this will assign the inspection record to the logged in user.
Employee Center:
- Log in to employee center with the [sn_hs_rm.safety_inspection_writer] role
- Navigate to View Safety Inspections
- Select Assign to me
- The inspection is now assigned to the you and can be complete
Note: To reassign an inspection make sure you are a part of the same assignment group
How to Set up Embedded Actions:
Note: By default, actions can be generated off any question type. To configure which type of question an action will generate from, Health and Safety Admins can select the question type within properties.
Navigate to Health and Safety Administration > Properties
Under Survey fields enabled for action creation input the question type that you’d like the action record to generate from
Ex. Boolean
If all question types are listed in the property field then there will be an action record for each question type.
Setting Up Health and Safety Risk Management- Inspections:
Health and Safety Risk Management [sn_hs_rm] will need to be downloaded or updated to (6.0.0) from the store into your instance.

Additional Enhancements:
Health and Safety Core:
To provide flexibility for customers implementing Health and Safety and not starting with Health and Safety Incident Management, we have created a Health and Safety core to include the data model and core functionality for all Health and Safety applications.
There is an additional plugin on the store Health and Safety incident management which will need to be downloaded or will download automatically if you are upgrading to v10.0.
Scheduled Actions:
To create efficiencies for safety teams and reduce manual effort, Health and Safety actions can now be scheduled and bulk created.
- Within the Health and Safety Workspace, navigate to Health and Safety Incidents > Action Schedules
- Select New
Populate the details of the action schedule. Details such as short description, type, and priority will populate for all the action records.
To easily assign to groups of employees, use set conditions to use the condition builder. Conditions for assignment can be based on any employee attribute such as location, manager, or job title.
Days to complete after reaction will set a due date for each record.
The schedule can be set once to assign bulk actions or can be reoccurring if the actions need to be daily, weekly, monthly, or yearly.
Upon selecting Save, actions will be generated for all identified users in the condition builder
Meeting Management:
Easily add attendees to meetings using the condition builder. Attendees can be based on any attribute such as job title, manager, groups, or location. The condition builder allows for flexibility in adding attendees that are not in groups.
- From the Health and Safety Workspace, navigate to Meeting Management
- Open any meeting management record or create a new record
- Navigate to the attendees tab
Add: will add any existing Health and Safety user. Use the filter to conditionally add users to the meeting.
New: utilize new to add a new user or member of the public to the meeting
To change the attendance status, open the attendee's record by selecting their name and changing the attendance status from the attendance drop down
Note: External attendee and external absentees fields will be deprecated as the functionality has been replaced by the new attendees update
