Agentic AI for Hiring Experiences: Overview
This article presents an overview of agentic AI workflow capabilities available within Hiring Experiences applications in ServiceNow HR Service Delivery (HRSD).
Agentic AI within HRSD spans a broad range of applications, including case management, employee journeys, development, and recruitment processes. In the context of hiring experiences, agentic AI use cases are designed to streamline talent acquisition workflows — reducing manual overhead for recruiters, coordinators and hiring managers, accelerating time-to-hire, and improving the quality of outcomes at each step of the process.
The following Agentic AI workflows are available out of the box for Hiring Experiences:
- Schedule Interview (Recruiter persona)
- Create Job Requisition (Hiring Manager persona)
I. Schedule Interview AI Agent
Purpose
As a recruiter or coordinator, use the Schedule Interview AI agent workflow to autonomously schedule interviews end-to-end, with human checkpoints where judgment matters. The agent gathers interview context, finds optimal time slots across attendees, drafts personalized invite content, and shares invites — all within a single conversational flow.
How it works:
The agent is driven by an AI Agent Orchestrator and executes a four-step workflow:
1. Interview context— The agent gathers interview-related details with minimal recruiter input. Most details are pre-configured and auto-populate from existing hiring records, keeping the conversation lightweight. The recruiter confirms before the agent proceeds.
2. Slot calculation — The agent evaluates calendars, self-declared availability preferences, time zones, and interviewer priority (required, optional, alternate) to rank slot recommendations. Ranked slots are optimized to reduce rescheduling — the recruiter simply selects from the options. When no overlapping slots are found, the agent presents fallback options rather than escalating: expand the search window, propose self-scheduling for the applicant, set a time manually, or save for manual handover.
3. Create invite content — The agent drafts personalized invite content using AI generation or company templates, tailored to the interview context. Content is differentiated per attendee type — applicants receive different content than panellists.
4. Compile and share invites — The recruiter reviews and can edit invite content before it goes out. Once confirmed, the agent creates and sends personalized invites to all attendees.
The recruiter stays in the loop at three deliberate checkpoints: context confirmation, slot selection, and invite review. Each checkpoint exists because human judgment adds value at that moment — not as a blanket safety net on every step

II. Create Job Requisition AI Agent
Purpose:
As a hiring manager, use the Create Job Requisition AI agent to create job requisitions through a conversational experience — replacing the traditional, form-heavy process. The agent guides the hiring manager through gathering requirements, refining requisition details, and drafting a job description, reducing errors and back-and-forth with recruiters.
How it works:
The agent is driven by an AI Agent Orchestrator and executes a three-step workflow:
1. Gather requirements- The hiring manager triggers the flow conversationally (for example, "create job requisition"). The agent asks how they'd like to start: use an existing employee as a model, reference a previous requisition, or start blank. Based on the selection, the system pre-populates what it can so the hiring manager does not start from scratch.
2.Refine requirements- The agent asks only the mandatory, relevant questions based on what is already pre-populated. Details the hiring manager should not need to know — such as cost center — are auto filled. The hiring manager reviews the requisition details before moving forward
3. Job description creation- The agent offers multiple methods: start from a previously created job description and edit, use a company-configured template, or generate fresh using AI. The hiring manager reviews and edits before the requisition is submitted into the system.
The agent includes two checkpoints: requisition review before job description drafting begins, and job description review before final submission. Both checkpoints exist because the hiring manager has the clearest picture of what the role requires — the agent handles pre-population, autofill, and drafting, but the hiring manager makes the final calls.
