Employee Document Management Best practice or Advice

Hi,

 

I am implementing EDM functionality and this is the first time for me to do. So, I would like your advice for my scenario.

 

My scenario:

I am using the OOTB Verification of Employment.

This HR service is configured to move attachment to EDM automatically and the document type is Employee Verification

When employee request without any attachment, it is working fine. The Letter HR agent provide would be moved to EDM.

However, in some cases, Employee attach a custom letter format. HR agent provide the letter using the format and close the case, then both of the format and letter would be moved to EDM.

I don't want the format is stored in EDM.

Should HR Agent delete the format before closing the case, or Should I inactivate the automation functionality and HR agent manually move only letter to EDM?
Is there any idea for this scenario?
