Modern organizations must manage multiple employee events throughout the employee journey—from hiring to role changes and eventually offboarding. In ServiceNow HR Service Delivery (HRSD), LifeCycle Event  provide a structured and automated way to manage these employee transitions.

Lifecycle Events help HR teams coordinate activities across departments such as HR, IT, Payroll, Facilities, and Security, ensuring that employees receive the right support at the right time.

This blog explains what Lifecycle Events are, how they work in HRSD, and how organizations can implement them to automate employee journey processes.

 

What is a Lifecycle Event?

A Lifecycle Event in ServiceNow HRSD represents a significant change or milestone in an employee’s journey within an organization.

Example:-

1. Employee Onboarding 

2. Employee Offboarding

3. Internal Transfer

4. Promotion

5. Return from Leave

-Key components of Lifeycle Events

Lifecycle Events consist of several important components that work together to automate the process.

1. Lifecycle Event Definition

This defines the type of event being managed, such as onboarding or transfer.

It includes:

  • Event name

  • Trigger conditions

  • Associated activities

Example:
New Hire Onboarding Lifecycle Event

2. Lifecycle Event Case

When a Lifecycle Event is triggered, a Lifecycle Event Case is created.

This case manages all activities related to the event and acts as the central record for tracking progress.

Example:
When a new employee joins, a New Hire Lifecycle Event Case is created automatically.

3. Activities

Activities represent the individual tasks required to complete the lifecycle event.

Examples:

  • Create employee account

  • Issue laptop

  • Schedule orientation

  • Configure payroll details

  • Arrange office access

Each activity may create tasks for different departments.

4. Activity Sets

An Activity Set groups multiple related activities together.

For example:

New Hire Activity Set may include:

  • HR documentation

  • IT system access

  • Payroll setup

  • Training schedule

  • Facilities preparation

Activity sets help organize the workflow logically.

5. Stages

Lifecycle Events are typically divided into stages to represent progress.

Example onboarding stages:

  • Preboarding

  • First Day

  • First Week

  • First Month

Stages help HR track how far an employee has progressed through the onboarding process.

Let’s consider a practical example.

When HR creates a new employee record and enters a start date, the Onboarding Lifecycle Event can be triggered automatically.

The system then creates several activities such as:

  • Create employee email account (IT)

  • Prepare workstation (Facilities)

  • Setup payroll details (Finance)

  • Schedule training sessions (Training team)

  • Assign company orientation (HR)

Each department receives tasks related to their responsibilities.
