ServiceNow makes the hybrid world work. This demonstration shows how technology assets are managed through the Now® Platform and HR, IT, and Employee experience workflows. The demo covers three examples of when employees have a change in their assets—onboarding, forgetting something, and offboarding. 

Let’s start with onboarding, which is a huge part of the first experience your employees have with your company. Mess it up, and employees will always feel like there was something lacking from their overall experience. Your workflow could go like this—1) the new employee receives a welcoming email, which points them to an onboarding portal, 2) they pick from the standardized bundles of equipment you offer,  3) software is matched based on their role, 4) software license levels are adjusted or acquired, 5) hardware is allocated from stockrooms that automatically orders after inventory drops past thresholds 6) software is provisioned, 7) shipping labels are created, 😎 assets are shipped, 9) employee is notified through ServiceNow Mobile app, 10) employee opens the package and scans asset barcode with their app, 11) all data is updated and depreciation starts on the asset, 12) access, updates, and management all kick in as the employee fires up their new device and sees your logo appear on their screen. Okay, that seems like a lot of steps with plenty of interaction with departments such as HR, IT, Procurement, and Finance. See the demo and experience the power of automation and workflow. We should look at a simpler employee experience example too – the forgotten charging cable. People are migrating back to offices but forgetting a few things along the way – after all, it’s been a while. In the new workplace, there might not be permanent workspaces for the hybrid worker where they can keep extras in their desk drawer. Instead, they can pull out their mobile device, pull up the ServiceNow Mobile app, and select a charging cable from loaner assets, which they can pick up at the tech lounge. Easy, pleasing, and the gift of a generously charged device throughout the day. Of course, IT will always know who hasn’t returned their loaner, so make sure you give it back soon.

Finally, we come to the end of the journey for some. Yes, we’re talking offboarding. We may not want to see them go, but we do want our assets to stay. That means when HR closes out their employment, it triggers IT systems to remove access, and the road for that laptop or device starts its journey home. The integrated workflow begins: 1) with a shipping box and label sent to the former employee 2) receiving the equipment back and scanning the hardware barcode, which shows that it received 3) wiping the software, which adds software licenses back into your licensing count and helps reduce security risks 4) IT assigns a state to the hardware based on age and condition either to put back into inventory or sets up for disposal 5) assets for disposal are scanned when passed off to authorized disposal party and certificates of disposal are updated in the system. Offboarding may not be as long as your onboarding workflow, but it interacts with many of the same business departments, including those who monitor risk and environmental, social, and governance (ESG) policies. In conclusion, onboarding is about the employee experience, offboarding about risk, security, and compliance – let your workflows make your world work better for you.
