Software License Renewal Tracking w/o ITOM

I have a requirement to track all of the software assets of my organisation in ServiceNow. Right now, all of the software tracking happens on Excel sheets and obviously, it is a painful task for the System Admins to revisit Excel sheets, every now and then, to find out the licenses nearing renewal dates. They need to have early reminders and overdue notifications put in place to know which software licenses are expiring so that they can renew/ terminate the licensing contracts on time.

We do not have ITOM in place yet but we may some time in future.

We also do not use CMDB much for tracking anything.

My question - Do I put all of the software assets in CMDB or do I create a custom table for this?

If you suggest I go ahead and put everything in CMDB right now, what do you think the rework would be like when we implement ITOM?

Thank you for your help!

Priyanka

Hi Priyanka,

here is an option I could see in my Kingston developer   instance:

as part of Contracts which are a related list of Software license you have an "expiration" . On that field you could set a business rule which would   when that contract will expire in a week times   then triggers a task for your responsible group to decide to renew / terminate   the SW contract.

Best to contact your account rep to investigate how to holistically solve the whole SW license topic, as discovery and Service mapping might be an option also to reconcile licenses versus actual installations...

Hi Frank,

Thank you for your reply. Are you talking about Asset where in we have a 'Contracts' related list? Here's a screenshot of what I mean by this -

Add them in the software license section and set the expiration date in the contracts tab. This is not in the CMDB. So I would not recommend putting your licenses in the CMDB. You can roll them up into a contract and attach them if you have one such as an Enterprise License.
