Asset Managment - Email Notifications

Hi,

I am currently in the process of setting up our Assets within Service-now, I have set it up so that the as required the Asset will have a warranty expiration date. I am looking at setting up email notifications when the expiry is in the next 30 days.

What would be the best way to do this?

I have set up a scheduled report to run and look up the expiry dates in the next 30 days, not sure if this will work in the long term though.

Any help would be appreciated.

Ahmed:   I'm not sure this is a very efficient way of going about this.   The question is how often will this need to be sent out?   If it is every 30 days, you may only know that some of the assets are coming up much shorter timeframe than 30 days.

A more accurate way of looking at this maybe via a report/dashboard.   There is an Asset Management overview page that could be modified to list all the assets that are coming up for warranty expiration in the next 30 days.   This would be real-time information that could be used to understand what is coming off warranty.

If someone needs to be able to have this data in excel, they could drill down into the report and export that data.

The reason i thought of email notifications is because the persons who will receive this don't always use service-now on a daily basis, and this will only be sent out as and when a warranty is due to expire in the next 30 days.

Kind Regards

Ahmed:   You would need to create a report, create a gauge from that report and add to the homepage.   Take a look at the following to help you walk through this:
