CAB Workbench use in an In Person Meeting

We are considering the implementation of the CAB Workbench plugin in order to streamline and add efficiency to our CAB meeting process. Our CAB meetings are currently a hybrid meeting (both  in person and web conference). This type of meeting will remain as management wants as many people to attend CAB in person as possible. If there are attendees of the CAB in person, how do we record their attendance? It seems that the CAB Workbench only records the attendance of users that are viewing the CAB Workbench from their logged in instance.

 

Also, We review Standard, Emergency, and Normal changes in our CAB. The agenda for a particular CAB meeting does not list the type of change or allow us to filter on type. It appears to just sort the agenda based on Planned Start date. Has anyone customized the Agenda widget to align with their processes?

I was searching for a solution to this issue myself and came across your post here.  While I don't have an answer for you, I was wondering if you ever got this solved?  I am working on a project for a large-scale implementation of ServiceNow (my focal point being Change Management) and I too was wondering the same thing about the CAB Workbench.  Did your developer help provide you with a solution on this?

This would be very useful if the CAB Workbench would allow for automated capturing of the list of attendees who were active and available during the CAB meeting as well as a method of manually pulling others from the list of users in the database (for those who were present in the room but not logged in) to get a full listing of those who were present during CAB.

The other thing I wonder (perhaps you know the answer to this) - do the attendees who join the CAB to represent their changes get captured somehow and recorded permanently within that CAB meeting record to indicate that they presented their change(s)? This would be beneficial for auditing purposes so it was no longer a manual process of recording attendance for each meeting.  To me, it seems like pretty simple logic - if someone's status is shown as logged into the CAB meeting, it should automatically be reportable that they attended.  If someone is presenting, it should be recorded that they presented during that meeting (icing on the cake would be if the system could tell us what content that user presented).

Thanks in advance if you had gotten any information on this.  If you did get a solution put together with the tool and it required some level of customization, let me know what that entailed for you to create a good solution.

Hi Dan....

We did implement CAB Workbench in our environment and are still having in-person CAB Meetings. In order to record in-person attendees, however, we have to edit the CAB Meeting either during CAB or afterwards and add the in-person attendees to the Attendee list. This does pull from the sys_user table so it's not free-form text. 

The attendees list of the CAB Meeting is automatically populated based on the Agenda. When one of these individuals accesses the CAB Workbench for that particular CAB Meeting, their attendance is marked as 'Attended'. 

If someone that's not on the pre-populated attendance joins the CAB Meeting (via CAB Workbench), it adds their name to the attendance list. 

 

It is a bit of a hassle to manually add the in-person attendees by navigating to the All CAB Meetings, and opening that particular CAB, however it's the only solution that we could find. We attempted a modification to the Attendees list in the CAB Workbench itself but decided against it since that would lead to potential issues during an upgrade. We may revisit that in the future though.

I too have recently implemented the CAB tool in our 2x a week CAB meeting.  The tool does automatically capture attendance for anyone who clicks on the URL link to the CAB meeting.  Maybe i'm missing some other reason as to why you are manually adding the attendees.

 

The tool can lag a bit at times, but it has worked great for us otherwise.  Our major wish is that there was a place to enter "in line" meeting notes; 1 meeting note that would associate to 1 change.  The other comment and meeting note fields do not report very cleanly.
