what can be the maximum limit count for configuring change approval definition and for change approval policies ?

there is no limit as such.

Best practices

-> Approval Definition:

  • Avoid hundreds of approvers in one definition to prevent UI slowness; use flows or scripts for large sets
  • Support unlimited users/groups per definition, with "Wait for" options like First response, All responses, or Percentage

-> Approval Policies: 

  • Allow unlimited decisions (rows) via Decision Tables, each linking conditions to an Approval Definition
  • Don't use complex policies as it might slow down, you can split into multiple policies

No, there is no limit, but I believe for approval policies, configuration is required. However, as a BPC, please consider these points:

  • Adding more approval steps will delay the overall change process.
  • If a rejection occurs at the final stage, all approvals will need to be triggered again.
  • It may impact reporting if you want visibility into where approvals are stuck.
  • Too many approvals can become a bottleneck for moving changes forward.

Therefore, review and discuss with the client what approvals are truly necessary and include only those.
