Relate Expense lines to Contract or Cost Center?

Hi,

Any one that can share common practice regarding relations between Assets , contracts , expense lines and Company

Here is the setup we aiming for

Company X have Location A, B, C

Each location have multiple Network Gears (CI)

Company X have 2 cost centers. 1 for location A + B and 1 for location C

Company X have 1 contract for support covering all CI .

Cost is set on each asset related to the CI and the contract is related to the assets.

Would we now related the Expense line on the Assets on Cost center or on the Contract?

Hi Daniel,

I would normally see expense lines been associated to 1 contract. Now, by default, 1 contract is associated to 1 cost center and same is the case with an expense line (it's associated to 1 cost center). You can then choose to define a contract per cost center covered (and perhaps have a parent contract which covers these) or perform some customization to allow your contract to be associated to multiple cost centers and handle the association of the expense line to the right cost center.

I believe that having 1 contract for each cost center is your best choice.

Thanks,

Berny

Daniel,

Actually, you can do one contract here, but create a Rate Card on the contract to apply for each cost center. This allows you to spread the expenses to different cost centers with a single contract. You can also associate assets to the rate cards, distribute costs to the assets, and set a separate time frame for which it is applicable if the dates vary for the various assets.

Hello Daniel,

Do you know if there is a way of forecasting future expense lines that are being automated "on-the-go" with contract rate cards. I'd like to create reports and budgets that foresee the financial result of the contract.

Not sure if that is covered in Financial module.

There is a forecasting function for project in Istanbul, maybe that could be used?
