Hi
As CI only have 3 Statuses, Non Operational, Operational and Retired, if an Asset is in a the State of In Stock, Sub Cat of Available, what would should be the CI State be, Non Operational or Operational ?
In Service Now does the Asset Status automatically change to Retired when the CI Status is at Retired and the rest of the Asset Status have to be changed manually ?
ie if CI is Non Operational/ Asset is In Stock = then it changes to CI =Operational does it/should it auto change the status to now In Use ?

For this, you need to understand these three tables.

and the KB.

Hi @michelle kirk ,
when an asset is set to retired state, it sets to install_sttaus, hardware_status, and Operational_status to retired.
Here is the breakdown :
>> Operational = The CI is currently in use and functioning as expected. This status is used for CIs that are active and performing their intended roles. Operational CIs may be actively monitored and managed by ITOM and ITSM processes. Incidents and changes can be related to these CIs. For example: A server that is currently hosting applications and services for the organization.
>> Non-Operational = The CI is not currently in use or not functioning correctly. This status is used for CIs that are either broken, in maintenance, or not required at the moment. These CIs might be targeted for repair or maintenance work. Incidents and problems can be linked to these CIs. For example: A server that is down for maintenance or experiencing a hardware failure.

Hi @michelle kirk,
If an Asset is in the state of In Stock with subcategory Available, the corresponding CI Status should be Non Operational, since it's not actively being used.
- The Asset Status does not automatically change to Retired when the CI Status is set to Retired. You need to update it manually or use a Business Rule or Flow Designer to automate this.
- Similarly, if the CI Status changes from Non-Operational to Operational, the Asset Status does not auto-change to In Use. You can implement automation to handle this logic.
If my response helped, please mark it correct and close the thread so that it benefits future readers.
