Attachments in Knowledge Articles

hi there,

I'm looking to attach documents to published knowledge articles. They are various types. Is there a way they can be either added to a searchable library or made searchable themselves as part of the knowledge base I uploaded them to? (I managed attachments and have them all in there, I know its not efficient or best practice, but they're stored for access when I find a solution)

For example, they're all the same name as the Article, so technically when a user searches the article name, it should come up in the search. Is there something to enable this?

thanks

Robyn

Hi @RHolmes123 ,

Out of box we do that automatically. "kb_knowledge" table is text indexed automatically and via global search we search in the attachments as well, as long as they are not binary files (so pdf, text, docx should work).

can we separate KB articles with attachments and without attachments by using breadcrumbs or query builder are is there any alternative way for that?

Thanks,

If you do a search, this question has been answered a couple of times. (I know, because I've answered them - haha!) 🙂

Yes, search searches content in attachments.

Case in point - one time while testing, I was using an unusual search term to test how well the system worked. I used "ostrich." (I can't remember why.) I was expecting one article to show up in search. BUT I GOT TWO ARTICLES.

Turns out, the second article had the word "ostrich" in the PDF that was attached to it. (Talking about "ostrich bias," where you ignore a problem and hope it will go away.)

If you do a search for "attachment," you may find some other interesting discussions. (If you find some of my old job aids, you can ignore them - with Tokyo, they're obsolete. I'll have to go back and update.)

Bonus tip - if you didn't already know this, you can attach docs to knowledge blocks, too, which is AMAZING if you need them across multiple articles and only want to update in one spot. 🙂

I hope you have a great day! I hope this helps!

hey Lauren,

I actually was going to message you. The solution you posted a couple years ago was archived. 😞

I thought I'd ask again instead. 🙂

I need to know how to set these permissions for the admin. I dont have admin rights.

Is this the right knowledge base to check? Can you tell me what to tell my admin?

Thanks!
