How to Relate a Dashboard within a Knowledge Article?

There are several knowledge articles that are linked within Dashboards (and of course, nobody tells the Knowledge Manager they've done this) and I am updating KBs to new templates that I have built. In this process, once the new KB has been built with the new template, the old KB is retired. Once the old KB is retired, of course that link within the Dashboards (if the article has been added to one) is broken. As the Knowledge Manager, I am trying to figure out a way for me to look at a KB and see if it is linked within a Dashboard, so I can reach out to the Dashboard Owner and let them know the new permalink for the new KB. Is there a way that if a Knowledge Article is linked within a Dashboard, for it to show up within the Knowledge Article, for example maybe under the "Related Links" or something? Or some other way for me to easily be able to find out?

Ok, so I found "Configure related lists on Knowledge form, only my permissions do not allow me access to see the list, does anyone know if there is anything in that list that has to do with the dashboards that the article may be linked within? Added attachment image.

Hello, Isn't "inform knowledge manager" always missing from processes? ðŸ˜€

You've sent me down an interesting rabbit hole this morning! It looks like you can define a relationship between two tables if they have a logical relationship. It doesn't say what "logical relationship" means though.

The challenge may be trying to identify where the data is stored in the dashboard. Look at this post: https://www.servicenow.com/community/developer-forum/is-there-any-table-that-stores-all-dashboards-a...

If you go down the route of creating a database view, you may be able to find what you need without having to add it to the KB form, but it would be nice to be able to see all places within ServiceNow an article has been linked!

A "Quick" workaround may be to wipe the contents of the old KA, add a link to the new KA with instructions to update the referring URL, and note the old KA will expire 60 or 90 days. This would be helpful to anyone who has the link outside of SN or has the KA set as a favorite.

I wish there was a way to "forward" the old KA to the new one (or allow changing of templates!!)

Actually there is a way to "forward" permalinks from old KBs to the new replacement template KBs. If you would like the information on that, just let me know. 🙂

Yes, please!!!!

It's a box that can be added to the KBs, it needs to be enabled on the backside on the Article form (I think) so you can add it to the KBs. It's called Replacement Article (we may have modified the name but it's something like that). When this feature is enabled, when you click on Retire for an article, it prompts you with a box asking if a new KB is "replacing" the one you're retiring. Click yes, and it will prompt for the KB#.
Any searches done in SN for the Old KB# or Title will be automatically redirected to the new article that took it's place.
I hope this was helpful and points you in the correct direction. I had to maneuver through several SN devs to get it done, I don't have access to the article forms, or lists.. so it is a bit of a pain. lol
