Best way to capture as is processes

pokai
Tera Contributor

I have joined a new company and I am tasked with documenting the as is processes for ITSM, HRSD as we need to move from Servicenow Express to Enterprise

I have previously done ServiceNow Admin previously for another company and some story writing as a BA.

I am more than comfortable on navigating their current Servicenow but I can't find any good guide or template on documenting Servicenow As Is Processes. So currently I have been creating BPMs with roles and statuses, documenting steps on their processes and extracting and consolidating BRs, Notifications, UI Policies.Actions etc... in excel. However the company is keen for a full blown as is documentation in either confluence or word that covers everything.

Would love for someone on this forum to provide an example document of this or provide all the points to focus on gathering all the information.

Hi,

You can look at a few process flow diagrams and see how its represented and take inspiration form there,

But I'm afraid you will have to do this exercise manually.

On a very very high level, Its important to capture the state transitions/Actors & Actions.

Hi pokai,

Congratulations on your new role! I understand how challenging it can be to gather and organise all the necessary information.

If you’re looking for a comprehensive documentation solution, you might want to check out Documate. It’s a documentation application for ServiceNow and allows you to incorporate diagrams from tools like Miro and Excalidraw directly into your documentation. This could be particularly useful for creating detailed Business Process Models with roles, statuses, and process steps.

With Documate, you can (among others):

• Create and manage detailed process documentation

• Use live data from ServiceNow (any record) to keep your documentation up-to-date automatically

• Collaborate in real-time with your team

• Ensure all your documentation is centralised and easily accessible

This might help you move beyond using Excel and provide a more structured and visually appealing way to document your processes.

Good luck with your documentation project!

Hi @pokai

Congrats for new role. I am hard-core BA and BPC and I will recommend to follow Now Create.

Nowlearning.servicenow.com/nowcreate

Under this 3rd tab , is Assets.

In Assets search for required module and you will get the process workshops ppt and process guides. That guides and ppt have OoTb and as is process flow of ServiceNow.

Plz have a look and share feedback. Happy to connect 1-1 if required.
