any other sub-processor involved in the processing of personal data held in Service Now

Hi @johannestav ,
It depends on the you/ customer who is using the instance. ServiceNow doesn't set a data retention policy on your instance. The data can live there as long as long as you're a customer of ServiceNow (backups are kept for short period after the termination of the contract if you were to cancel your subscription).
You as a customer are always the data owner and controller for information you store in a ServiceNow instance. You decide what information is to be stored, how it is to be used, and how long it is retained.

For you other questions not all OOB tables are configured with data retention and table rotation,
Customers enable it based on their requirement.
Note: You will need to sit and discuss with your company's infra team internally as for how long you want to retain the data. Also, as per my experience with different customers the ranges i have seen is from 5 years, 7 Years, 10 Years.
