I create a lot of reports to track metrics, KPIs, etc.
Up to now, I've been manually adding users who need to see the reports, one by one. But more and more people want to see these reports now and I'm struggling to keep up in editing the user base.
**I cannot use groups as it's a large audience and many of the users who need to see these reports are in different teams and cannot be in groups.
I just found out I can "Publish" a report. But I cannot Publish a Dashboard. If I publish these to any user with the link, and then add the Published reports to a Dashboard, will all users who go to the Dashboard also see the reports? Or do I still need to add individual users to the Dashboard permissions under Share first?

Hi RC,
Why not share your reports and dashboards to role "public" ?
Using Publish is not recommended for security reason, since any external person having the URL will be able to see the report even if they don't have a ServiceNow userid for your instance.

I don't have access to do that. I only have the option to share to individual users or groups (or Publish). I don't see a public option? Where would I see that? When I go to Share, I get a Share Settings popup with two Radio Button options: "Me" or "Groups and Users". I don't have a public option.
I would prefer to just share to Everyone, that would be way easier. That's why I was thinking of the Publish option. Turns out though, that Publish doesn't show it in the format I needs. So it doesn't really work anyway when I tested.

Hi RC,
You need to discuss with your sys admin. He has the right to share to everyone (or role public).
Or he can grant you the roles report_global and dashboard_admin which will allow you to do this yourself.
Regards.

You may not be able to use the existing groups, but perhaps you could create some new groups and add users to them as required? This will allow you to virtually place users in different groups together without removing them from their original groups. It would then just be a matter of sharing the reports and dashboards with those new groups.
