We all know the moment: a license audit is scheduled, security wants everything past end-of-support flagged, and someone from finance asks when the top 20 products are hitting EOL and the honest answer is "let me get back to you." Software lifecycle data is one of those things that feels low priority until three different teams need it at once.
I put together an implementation guide to fix exactly that, and it's attached to this post.
What it is
ITAM Lifecycle Management — Implementation Program for SAM Pro is a step-by-step, coverage-first program for standing up software lifecycle management in ServiceNow SAM Pro. It's organized as Crawl / Walk / Run, so you can start wherever you are and build up without boiling the ocean.
The core idea is this: coverage is a measurable outcome, not a side effect. The Software Lifecycle Report is where coverage is measured, gaps are identified, and the effect of every capability, Lifecycle Averages, Parent-Child Relationships, Custom Lifecycle records, becomes visible. Generating it, reading it, and acting on it is the operating rhythm of the whole program.
One distinction the guide draws clearly: a record with a lifecycle code (APX, END, or EXC) is a covered record, even without a Phase Start Date. A code means the product was investigated and the situation was documented. Records with neither a date nor a code are the true gaps, and that's all the improvement backlog should target.
What's inside
- Crawl — Establish the baseline. Confirm normalization rate, turn on Content Services, scope the report correctly (Licensable and Not Licensable only), generate the Software Lifecycle Report with Lifecycle Code columns, and measure install-weighted coverage — because a product with 10,000 installs is not the same as a product with one.
- Walk — Close the gaps. Activate Lifecycle Averages at the Global Industry level as a safety net, refine by Publisher or Product where needed, create GA date proxies for anything the Content Library doesn't have an anchor for, and set a cross-phase priority order (EOS → EOES → EOL) so you're not penalizing records that have a real date — just not the one phase you happen to be filtering on.
- Run — Operationalize it. Define Parent-Child Relationships for high-leverage publisher families, create Custom Lifecycle records for negotiated contracts and internal policy, adopt the Guided Experience for Lifecycle Reporting to make the workflow repeatable every cycle, and connect lifecycle data to Asset Audit Response if you're subject to formal regulatory exams.
It also includes a SAM vs. HAM quick-reference table so you don't accidentally apply HAM logic to SAM when building coverage queries. The two programs are structurally different in ways that matter.
Why grab it
Because "we'll sort lifecycle out later" always turns into a fire drill the week an auditor shows up. This guide gives security, finance, and compliance teams actionable, defensible data in an order that actually works, with navigation paths, system properties, and KB references called out at each step. Whether you're just turning on SAM Pro lifecycle for the first time or you've had it running for years and coverage has plateaued, there's a place to jump in.
