What is the best practice for documenting Site based licensing? |
So this first question here is what is the best practice for documenting site based licensing? I'll, I'll take a stab at this one just since I'm already rambling. So I'm assuming what this means is that what is the best practice for documenting the metric or the license entitlement for it, the contract for it. So if it is site based, I would look to potentially configure a what's known as a custom metric for it. So when you input that entitlement, you'll see metric group. So you'll put that to the publisher and then you'll also see the metric type and you can put that to custom. And then depending on how the deployments for the software are configured, you'll basically leverage what's known as the install conditions on the software model to accommodate that. So that's very high level. I suspect that there might be some nuance that I'm missing there. So feel free to add a follow up question on that, but that would be my initial take on site based licensing without knowing more particular based on publisher or things like that. Yeah, I think you're right there. Go ahead, go ahead. You're pretty much right on Brad. the install conditions are definitely what you'd want to be looking at for race specific site based licensing, because then you're going to be able to see what falls out, right. So it's going to really help you control or at least have visibility into where you may have a non compliance issue when it falls outside of that. So it's definitely something you want to look at doing. And I was just going to add that this is an example of where it's important to make sure that you have those operational relationships across your organization. Because we want to make sure that from a site standpoint, from a facility standpoint that we have well defined sites codes or identifiers |

So what is the best practice around whether we should allow import of inactive user accounts or guest accounts during software subscription import? So I'll take a stab of this and then I'll open it up to the experts that I have on here with me. So as usual, I think the best thing to do is to just start with what we know in the basics, which is if you need to get user subscriptions for a specific staff vendor and ServiceNow offers an integration for that, chances are we do. We have over 30 out-of-the-box. And then we also offer functionality to set up integration flow code, get that integration set up first. You're asking a very important question regarding, what do we do about these common exceptions? But let's start with getting that integration set up and getting that information in the tool first. So work with the product owner for that SAS application, get those credentials, set it up, make sure you're getting the information. And then at that point we get to the question here, which is the import of inactive user accounts or guest accounts. So what will likely need to be done is if it's not being done already, is on the side of the SAS app making sure that those inactive user accounts are removed. You can of course, kick off a reclamation within service. Now if it's a direct integration to have that done and as long as that API is public facing, we can accomplish that. So that would be the first thing to do. If for whatever reason that's not being registered on the SAS app side, that's where you can follow up with that product owner and say, hey, there's the 20 people that have left the company or whatever it may be, Make sure we remove them from the SAS app side. |

Are there any plans to put the Contract Management or Procurement views into the Software Asset Workspace like they exist in the HAM Workspace? It would be very helpful to have those the same across both workspaces in ITAM. |
Is there any plans to put the contract management or procurement views into the software asset managing workspace like there in the HAM workspace? There are some things in there right there is the what the heck is it called now the renewals calendar is in there in the workspace. So you can definitely use that. I don't know if there's anything on the road map for any future development of that feature or any additional development of the that feature. I don't know Victor, do ? Yeah, good question. Thanks Sean and thanks for the question everyone. We are under safe harbor looking and evaluating Sam manage, sorry Sam contract management and including that into Sam. At the moment, it is a little bit in the distant in terms of our road map planning, but it is something that we are evaluating and reviewing. Thank you. Thank you. And there's another one that's related to this and it's about if there's any training. So in hand, there's some there's on the Now learning site, there is a HAM workspace training. There may or may not be the equivalent for Sam. I cannot honestly not remember if there's a Sam workspace or it would be any Sam extras training. However, we do have, we've done a lot of videos lately on the Ask a Ranger playlist. So this is our , subtle, selling of the Ask a Ranger playlist that we have that does talk about a lot of the features and the videos. We'll be doing them in the workspace. So you can learn about the different features of Sam through these videos and actually see them in action in the workspace. Best way to implement SaaS such as Adobe Acrobat Pro in the environment and getting the counters to work. Counters is interesting. Counters is something that's normally associated to ITSM asset. So I'm going to answer this question from the perspective of Sam Pro, because I'm assuming we're talking Sam Pro. So yeah, when it comes to our SAS products, best way to implement is to let's set that integration profile up and allow the integration profile to create the software model and then attach your entitlements to that software model that the integration profile created. Because sometimes what can happen is that if we create the entitlement first, it'll create a software model and then your integration profile will create a software model. And sometimes your entitlements don't connect properly to the target software model. So I would say best practice would be let's, let's create that integration first. Let's get the software model created. Let's then attach our entitlement to that creative software model and do our compliance from there. Anybody want to add anything to that? I am very much of the perspective and recommendation that you should disable the system property in ServiceNow Software Asset Management that will automatically create software model. It is disabled by default, so by default the system has it disabled. So I encourage you to go to ServiceNow Software Asset Management. Under that you'll find system properties and just make sure that bad boy is disabled. As long as it's disabled, we should be set. Now of course, you may be asking why would that property exist in the 1st place? There are some unique scenarios where we do or unique customers, especially in more regulated environments want to have higher level visibility of those software models and so they'll enable that button. But again, I really challenge everyone on this call to justify that with very concrete reasons as to why a software model should come from a discovery model as opposed to a software entitlement. So to summarize, make sure that property is disabled. If you're noticing that after you disable that property that things are being created automatically, please reach out with the case then Sean, Elizabeth, anything to add there or if you see it a little differently because I know that there might be a different perspective on that. No, I think that's, I think, I think it's fantastic. I think the only thing that I would add is if we do get the justification that, hey, we need to turn this property on and we're automatically creating a software models and we do not have the capacity to manage all the licensable software models that are not coming in. What does active install (true or false) mean? What makes an install False? In workspace I have also seen Inactive install in Licenses required. |
What does active install true, false mean? What makes an install false? Oh, and workspace have also seen inactive install in license required. OK, well, that's there's two different two different things there. So active install on the software installation records. So what'll happen is when you do say for example, import your SCCM data comes in every night and new installations get written into that software install table, by default they're going to get set to active install equals false. And that's because a lot of times we've got the multi source CMDB, right? You've got SCCM, you could have Intune, you could have ServiceNow discovery and different discovery sources. So we want to make sure that we're not doubling up those installation counts. So they'll come in saying false. So anything set to false will not be counted as part of the reconciliation. So every night there is a job that runs which is S AM, DD duplicate software installs and that will actually take a look at all those installation records to validate whether or not there is another exact match from a different discovery source. So what it tries to ensure is that only one of those installation records is set to true and the other one is set to false. So that's why that's what those mean. So when I look at a software install directory, I'm always taking a look to make sure that the active install equals true, deduplication process equals true. When you see active install equals false and deduplication process equals false, that's where you might want to make sure that you're getting those jobs are running properly now depending on timing, right? So you all have to keep an eye on them to make sure that not too much of your state just sitting at false falls. And then the other question about in the workspace, right, |

Any tips/suggestions for importing Flexera BDNA product library custom applications (specifically client how-grown application products) to SN SAM Pro content library? |
I did see a question around Flexera and BDNA product library and custom applications. So that's, that's interesting. So I'll give my take on that and I'd be curious to know what others on this call think as well. So we do have a table designed for custom products. I believe it's sample custom software product table is, is what we have. So for, for any custom products, that's the table forward. Now you mentioned homegrown. I want to point out a feature in that custom table. There's a check box in there that allows you to exclude those custom software products from content. So here's the deal. If we want because it's a custom product and if you have content opted into those custom products will get reversed bid to the ITAM content team. If it's homegrown and we don't want our proprietary software sent back to the ITAM content team, that's what that check box would be used for. You would exclude it. So that way it doesn't get reverse fed. So that way you have a way to document your software in Sam Pro without it being reverse fed to the ITM content team. As far as at the end of that question to Essen Pro content library, I wouldn't touch any content tables per SE. Those those are updated by content and and content has this process for populating those. But the same software custom products table is definitely where I would recommend documenting those custom applications. SAMPro has both agent-based discovery and agentless, which one is better? |
So ServiceNow offers both agent based discovery and agentless discovery. And the question is which one's better? They both have their unique advantages. So I don't think any is particularly better. I'll speak to some common observations for both and then again, I'll open it up to the team. So the great thing about agentless discovery is that you're not in a position where you're going to be working with your internal IT teams to justify putting another agent on a device. So security is paramount in the world that we live in. And while obviously the agents that we're putting on there are very much serving a purpose that justifies our means as a business, which is to understand how much software we're actually using so that we can optimize our costs. That nonetheless the subjects that agent in the install that agent to be very equally important security processes and procedures, making sure that we can get it on there. So that's something to keep in mind with that with agentless you're you're not going to deal with that. On the flip side, having an agent there and set up to continually phone home, if you will to the service now instance or in this case ServiceNow discovery product. Because what we're talking about here are while this data feed software asset management, they are ultimately ServiceNow Discovery IT operations management products. Having that there and consistently phoning home certainly increases the reliability. I think we can safely say that I know that our I Tom team has done a lot of work enhancing agentless, but the ability to have that agent there and say every day at X time I'm going to phone home what's on this device that |

What's the general best practice to document license usage for non discoverable license metrics? The reason for this would be for someone to go check compliance for any publisher and see usage for both discoverable and non-discoverable products. |
I just wanted to make sure I was understanding non discoverable license metrics wasn't wasn't quite sure. So we do have the ability to create custom license metrics. So for instance, if there's a license metric that we may not have in our content, we do give you the ability to create metrics that work for the specific product that you have. But we're just curious to get a bit more detail on what a non discoverable license metric would look like. I guess that was throwing me off there. I think I can't remember who it is. Is it Oracle or SAP that have, it there's metrics based on like company profits and I can't remember exactly what those metrics are, right. So, yeah, so that would basically you're right, the custom license metrics, if it's not in one of our publisher packs, right, our publisher packs should have some of those non measurable ones. But yeah, if it's a different publisher, where you're using the common metric group, then yeah, custom metric would be the best way to do that. That's exactly right. Yeah, that. So for some of those more bespoke license offerings from large enterprise software companies that would be the way to roll. And so that's how you can still get that visibility into ServiceNow software asset management for those entities. I think this question from Norman around Azure devices showing up with the BYO designation, I believe that's something that one of our cloud discovery folks might be able, might be better equipped to answer. So I believe there is an I time community site where you might get a quick answer unless someone has an answer for it here on this call. That's exactly how I was going to answer it. What is the best practice for subscription entitlements after they are expired and renewed? Currently, we are re-creating the entitlements after they expire however, I cannot carry over the allocated users. Should we be updating the start date/end date instead of recreating? |
and we're automatically creating a software models and we do not have the capacity to manage all the licensable software models that are not coming in. Just be aware that there is a check box on software models called license under management. So if we need to have the visibility, however, we're not ready to manage the software models yet, just make sure that's unchecked. So that way we have our visibility, but we're not getting it counted against us in the licensed usage. I think that's the only thing that I would add there. Love it. Yeah, I think it was actually a question related to that earlier. So I hope that we got 2 for one. So that explains what this license under management check box, is it's a way to further toggle the visibility. So if as Ben was mentioning, you're in a scenario where you need a third option between the two that I laid out earlier, that could be something to look at as well. I saw a question here that I love and I'm going to answer it. Does Software Asset Management have an integration API with Eternity? ATERNITYI certainly could be spelling it or pronouncing it wrong to aggregate software utilization. So do we have a Eternity staff integration? At this point in time, No we do not. What we do have is a functionality known as software or excuse me, SAS licensed connections. So this is an out-of-the-box functionality that allows you to set up an integration. With any direct staff product that has a public facing API, that's the one thing to keep in mind here. So we can't control what these staff vendors do or do not make public as long as their APIs are public facing. Meaning that all you need to do is provide your unique eternity instance |

the software licenses and maintenance contracts. Oh, go ahead John. Yep, go ahead. I'm Carlene. Just asking. We're considering using Sam for the where'd it go? Allowed whitelist software by using certified and restricted options. Is this best practice to use for in house types of lists that we could eventually show an auditor? In terms of what you could show an auditor, it all depends on what the heck you're getting audited for and what you're actually needing to provide for them. So I can't say if it will actually suffice for an auditor because we don't know what that auditor is going to be asking for. However, yes, definitely using that restricted and certified. It is definitely a great way to help track what's allowed within your environment, especially when you're using the restricted, right? It's going to create automatically create those removal candidates for you and basically so you can allocate those out to get those restricted software out there. So I definitely think it's a great way to start. And again, you just need to find out what the auditors actually going to question. Yeah, I think I love questions like these because I, I think, anecdotally right there are there may be a lot of business units who has a stake in the game when it comes to this type of thing. So, definitely recommend working with your GRC teams, your enterprise architecture teams, your internal audit teams, and understanding the controls that are in place and that you are subject to before making a decision about that. understand what is and is not in scope. Before you start marking things as whatever, blacklisted, whitelisted or whatever in a box, make sure that we have an encompassing approach to creating that, I guess, approved software list. We are trying to ensure our configuration for the Citrix publisher pack is working properly, however, it appears that the Citrix Publisher Pack is looking for the publisher Citrix Systems instead of Cloud Software Group which is the correct owner for Citrix. Citrix software models show up under the Cloud Software Group. Therefore, I do not believe that the Citrix Publisher Pack is working correctly. |
So we're trying to ensure our configuration for the Citrix Publisher Pack is working properly. However, it appears that Citrix Publisher Pack is looking for the publisher systems instead of Cloud Software Group. yes, because Citrix is now a BUA business unit of Cloud Software Group, right? Which is the correct owner for Citrix? Yeah, yes, yeah, the owner Citrix now. So this would be something I, I would probably recommend creating an ITM content request for this just to make sure that we're tying off and associating Citrix systems with Cloud Software Group. Is there anything you guys would recommend outside of that? But I think this is something that we can probably look at from a content standpoint. Yeah, I agree. Yeah, One other thing I got, I was just answering a question related to can we see a list of the direct staff integrations? Can you please elaborate details on how we should expect wide net normalization to work with regards to Microsoft products? I don't know if I can answer that specifically because I do know that wide net normalization is only available for certain products, but I honestly can't answer which ones they are available for. I don't know if anybody, Ben Victor, maybe if we have a list of what is eligible for wide net normalization. I'm, I'm not sure myself. OK, so wide net normalization just for everybody. It's a newer feature that just came out. I think it came out in Yokohama. And basically what it will do is if there's a system or Sam property that you can enable, which will basically allow the system to use this wide net normalization principle. And that's essentially if certain discovery models have those similar discovered field values, it's going to allow the normalization process to use those to help normalize your content. So unfortunately, Jen, I don't think I can answer that question because I'm not sure how exactly the content team determines that. Sorry. Yeah, we're going to follow up on that one, that is some new functionality that unfortunately our content colleagues couldn't make this call. But we'll work to get some more specificity on what products it does or does not apply to. But what Sean, just level set in terms of what the technology does is accurate. Hello I am in the process of implementing SAM Professional and one of the issues I am having is the sourcing of requests. When I go to source a request I see these standard fields Entitlement Name, License Metric, Available allocations, rights, type and assigned/allocated - The assigned/allocated field is first name/last name and I would like to see the email address is that possible? Also, I would like to see a location field as my company is global and we have multiple entitlements from different vendors. So we would like to see an location field. |
On the entitlement record, within the ‘General’ tab is the ‘Owned By’ field which contains the user ID. Although the user ID is displayed, it has an association, but not direct display of the email address. There is a ‘Location’ field also on this ‘General’ tab. We are new to SAM Pro and we are implementing Digital Product Release (DPR). We are finding out that DPR might create new software models automatically in SAM Pro? We are nervous that it could get out of control. Any advice on how to manage this new process coming from DPR? |
I think another thing and you may tie into the license under management thought process, but getting quick, getting QuickTime to value is one thing, but also making sure that we are communicating that value appropriately. There's a, there's a feature and software asset management that I wanted to go over with you guys. It's called published products, which I think is fantastic. And what it allows you to do is it allows you to go into the workspace and say that, hey, from a license future standpoint, I only want to so show data or TV telemetry on these specific products or these specific product families, because this is what we have all of our entitlement data for. This is what's fully normalized. And this is what we have the capacity to manage. And by doing and, and by enabling that feature, what will happen is you'll, you'll be able to report your usage and IT cost management features for those specific products. So that way leadership can look at that license usage and the software analytics in the purview of these are the products. This is how well we are managing these products. And from a software asset manager standpoint, I think it's important because when it comes to building and growing your team, like, OK, we're doing a great job with these products, right? OK, if we want to do a great job with these other set of products, this is the capacity that it's going to take to. So it's a way to take a phased approach to building your software asset management program while also being able to communicate value that is succinct to what you're able to manage at this point in time. So I think that's another feature to consider as well. And since we're talking about that, Elizabeth, I'd like to bring you in just briefly for the convo. you're doing a lot of great work with Impact about communicating that value and level setting with stakeholders and leadership. And the question follow up is about guest accounts which are active users but are not available in service now. And the person saying that they don't see much value in having them in there. And I would I don't know if I would agree with that, right. Because if the data is coming in right, you've got subscriptions coming in where it's not mapping to a user within service. Now this could very well be valid subscription that you still need to pay for, right? You've still allocated those subscriptions on the portal to those users and you are still paying for a license. So what my recommendation is always there is that you take a look at those subscriptions coming in where there's no mapping user and determine what they are. A lot of times you'll see like for example, on your 365 integration, a lot of times you're going to see service accounts cause a lot of people have, calendars or board rooms or things like that are assigned to service accounts that need that subscription for 365 to provision the calendars. So those are still valid and we still have to pay for them, but they're assigned to a service account. There's also cases where you have contractors, right, that need the software that you, that you allocate them licenses for, right? They may not be in service now, but they're doing work for you and they need that as a tool. So you do have to pay for that as well. So I would continue to review any subscription data that's that has no assigned or no resolving user account to make sure what they are and the proper processes are being followed up to save contractors leave to reclaim those subscriptions as well. 10 minutes here. So what again, we are explore by the number of people on here in the best possible way and we're really humbled by it. And I, this has been so enlightening for us and inspiring for us. And we will do our best to answer as many possible in the next 10 minutes. Know that we'll be here again next month and the month after that. |

So those direct SAS integrations, let me we should, we should put a caveat on that. You're right. If you're not managing them properly today, if they're managing them properly, you're not going to get a Big Bang for your buck. You're going to get good important caveat. Yeah, very important caveat. So if you are in a position where you have some SAS brawl which happens all of us, we would encourage you to look at those direct SaaS integration. Here's why. Quicker time to value more. that the key consideration is the API for that SAP vendor public facing? Meaning does the sales force or the Adobe's of the world make it public facing? The answer for those two is yes. And then do I have the credentials from the SAS product owner? So that is, that is the big barrier to entry is just getting those credentials and saying, hey, we just need to establish visibility and log into this just to look at usage, ? And then once you do that, as Sean pointed out, for those that you're not currently managing already, you're going to get after the next, job runs that visibility to see who's actually using X amount of the subscriptions that we are under contract for. And then based on that, not only that, if you identify a percentage of those that are allocated to people that aren't using them over the past 30 days or they're people that are no longer with the company, you can start that automated reclamation directly in ServiceNow. there's one question here about the difference between per user and per named user license metrics. So what are the difference between those? It first and foremost, the difference is first going to stem from the publisher. So if you are, this is going back to what Elizabeth was saying earlier and everyone else on the call. This all stems from your contracts. And if you're talking about Oracle licensing, they license per named user. So if you are looking to manage per named user licensing for Oracle, you want to make sure that metric group is set to Oracle and that you're using per named user. If we're talking about common license metrics and we're under looking to see the differences between per user and per named user, I will admit I am not prescriptively aware of the unique differences within there. So I encourage you to go to the docs page and see if you can find anything explaining that. We'll see if we can find something here real quick. What I will say is that if it's for a product or publisher that has a publisher packed, do not stray from the specific semantics that are used on the contract and how they do or do not align with the product because they very much differ. The way that Oracle counts a user is different than the way Microsoft counts a user. So I suspect there's more context behind that question that we're not going to get into here with a few minutes we have left. There was also another question around the size of a company for says 25, 000 customers. How many staff members would you suggest to manage the licenses? I've got a chart here but I can't exactly put it in. But I will say that it's from Gartner and what it talks about is a Sam team size that if you have about 1000 and this is really total users, you need a part time staff for about 1000 users. If you're looking at 1000 to 5000 users, you have between 1:00 and 5:00 Ftes as part of that Sam team. 5000 to 50,000 users, you're going to have 6 to 10 Ftes and more than 50,000 users, probably 10 or more. The caveat here to remember is you have to look at your organization and decide on the technology complexity, the maturity of your organization, and the automation that you're already using, right? So if you have a lot of automation, you're going to of course need less people. If you have a very mature organization where your data is pristine basically for the most part and your processes are very solid, you're not going to need as many people. So that in that in consideration, those are the numbers that Gartner recommends. Yeah, great context, Elizabeth. So yeah, definitely those are AC levels that baselines. There's always going to be unique considerations, but that gives you a high level understanding of in math from the macro, the rough number of a team, size of a team to support your organization. Right. And I don't have a link, but I will see if I can throw this just JPEG in the chat. Yeah, I see. While you're doing that, I see a follow up to that question we talked about earlier on about the inactive users and SAS subscriptions.
