How to order Tasks in a Standard Change Template

Hello,

We use the Standard Change Templates heavily and many of them have tasks linked to them.

However, all the tasks get triggered at the same time.

How do set the tasks so they trigger in a specific order?

I have change the Order numbers but that does nothing. What I need is for tasks to be triggered one after another or some at the same time.

Help appreciated.

Thanks

Hi

Yes, this is exactly what the excution plans can do, without implementing a workflow (which is of course also the more flexible option).

I created an Execution plan under

> System Policy > Service Catalog > Execution Plans

You need to define, that the tasks will be attached to the "change_request" table (see field "Parent Table").

Then, when I create a new Change Request, the execution plan will be used automatically to attache the tasks to the new Change Request..

after Saving the new change request, the tasks will be attached automatically (see screenshot below):

All Tasks are now in state "Pending", but as soon as you fill in the assignment group an click on "Request Approval", the Change is waiting for approval.

If then, the change gets approved...

... the first task becomes "Open"

This way working through the tasks, should put them "active" in sequence.

Let me know, if that works for you, and mark my answer as correct and helpful, please.

Hi

But I thought about this issue once more, and am wondering, if you know about how to use Workflows in ServiceNow?

That is the more flexible way to solve things you are asking for?

Let me know, if I can support you there with some advice?

Hi Dirk,

Thank you very much for the detailed answer, I think the exustion plan is right. The workflow is also a good way and yes I know how to create workflows but I do not know how I can attach the workflow to a specific Standard Change template, any ideas?

Thank you, the above answer is very descriptive and much appreciated 🙂

Hi

You are welcome.

Nice, that you like my answer and description. Maybe I can find some time tomorrow for an example with workflows.

Hi Dirk,

I work in the change management team at my company and our tasks are generated using workflow. I saw you mentioned that this is the more flexible approach, but I assume that is from a development view.

From a maintenance perspective of the Change task sequence and Task details, is that still accurate? We are trying to find the best way to keep the task details and correct order updated as processes and technologies change and finding it cumbersome to update the tasks across individual workflows for 30+ different types of changes. Any tips on keeping up with changes would be great.

Dirk,

Do you use tasks generally for stating the implementation plan tasks?

If so, how is the management done with all the different types of changes?
