Visualize, Analyze, Optimize: Smarter Data Management with ServiceNow Zurich Release

Managing enterprise data isn’t just about storage — it’s about performance, compliance, and sustainability. With the Zurich release, ServiceNow introduces critical enhancements to help admins better control their instance growth, reduce costs, and streamline operations.

At the center of this release is the Data Management Console, now more powerful and insightful than ever. Unlike before, where admins had to chase data usage across tools, this console provides a centralized, in-instance view of your storage, trends, and configured rules — all in one place.

Why Data Management Matters More Than Ever

The session opens with a reminder: data growth, if unchecked, leads to slower apps, higher storage bills, compliance risks, and more exposure to data breaches. It's not just a backend problem — it's a business risk.

What’s New in Zurich

In Zurich, the Data Management Console levels up with:

  • Monthly and weekly trend analysis

  • Granular table-level data insights
  • Visualization of associated records (attachments, audits, journals)

  • Rule configuration summaries and backlog metrics
  • Embedded rule execution history for fast debugging

This means admins no longer need to guess what's growing or why. They can see it, drill in, and take action right there.

More Than Just Visualization

Just seeing the data isn’t enough. The ServiceNow team walks through the tools you can use to act:

  • Archive & Destroy Rules: Prune inactive data, preserve compliance, and prevent performance degradation
  • Table Cleaner: For simple, recurring deletes where archiving isn’t necessary
  • Clone Exclusions: Prevent bloating sub-prod environments by excluding data you don't need
  • Compaction: Reclaim space with caution, understanding when to escalate to support

Best Practices in Managing Data

Here’s what stood out:

  • Start cleanup with production, not sub-prod. Then clone clean data down.
  • Prioritize the largest tables (hint: it’s usually attachments).
  • Don't just clean randomly — use the console to find what’s actually growing.
  • Plan early. Don’t wait until you’re over your storage entitlement.
  • Always test your rules in sub-prod before applying to prod.

If you're managing complex ServiceNow environments and juggling compliance, performance, and cost, this Zurich release and the updated Data Management Console should be high on your radar.
