AI is everywhere these days, and ServiceNow is no exception. With Now Assist, the platform brings generative AI into everyday workflows to help users write content, summarize records, generate code, answer questions, and even build applications.

Sounds amazing, right?

Well, before you start clicking every AI button you see, there's one thing you should understand: Assists.

If you're wondering, "What exactly is an assist, and why does it matter?" don't worry. You're not alone. Let's break it down.

So, What Is Now Assist?

Think of Now Assist as your cool buddy who never gets tired. 

Need to summarize a long incident? It can do that.

Want help writing a knowledge article? Done.

Need AI to generate a workflow or even an application? It can handle that too.

The whole idea behind Now Assist is to make work faster, easier, and a lot less repetitive.

But unlike your buddy who survives on coffee, Now Assist runs on something called Assists.

 

What Is an Assist?

An Assist is how ServiceNow measures the usage of its AI features. (Just like Tokens)

Every time you use a Now Assist capability, a certain number of assists are deducted from your organization's shared assist pool. (Money, money, money hehe)

it is like using data on your mobile plan.

Sending a text barely uses any data, but streaming a 4K movie? That's a completely different story.

The same idea applies here. Small AI tasks consume very few assists, while more advanced AI operations use significantly more. (Again same concept of tokens but here in ServiceNow we call them assist, don't ask why thats how it is)

 

Not All AI Actions Cost the Same

This is where things get interesting.

Simple tasks like summarizing a record or analyzing an alert consume only a handful of assists.

For example:

  • Alert Analysis – 1 Assist

  • Platform Navigation – 1 Assist

  • Chat or Call Summarization – 1 Assist

  • Document Summarization – 5 Assists

  • Incident Assist – 5 Assists

Pretty reasonable.

Now compare that with more advanced AI capabilities:

  • Flow Generation – 500 Assists

  • Experience (UI) Generation – 1,000 Assists

  • App Generation – 2,500 Assists

  • Playbook Generation – 2,500 Assists

  • Advanced Auto Evaluation – 4,000 Assists

That's quite a jump!

But it makes sense. Generating an entire application is far more complex than summarizing a few paragraphs of text.

 

Agentic Workflows

One of the newer concepts in Now Assist is Agentic Workflows.

Instead of handling just one request, multiple AI agents work together to complete a business process.

ServiceNow groups these workflows into three categories:

  • Small Workflow (0–4 actions) – 25 Assists

  • Medium Workflow (5–8 actions) – 50 Assists

  • Large Workflow (9–20 actions) – 150 Assists

A workflow begins when an orchestrator agent starts coordinating the process and ends when the task is complete, after 20 actions, or after one hour of inactivity.

In short, the bigger the workflow, the more assists it consumes.

 

Why Does This Matter?

Imagine an organization where hundreds or even thousands of employees are using Now Assist every day.

If everyone is generating apps, workflows, and playbooks without understanding assist consumption, those available assists can disappear surprisingly fast.

That's why admins and IT teams keep a close eye on assist usage. It helps them:

  • Plan licensing more effectively

  • Monitor AI adoption across the organization

  • Estimate future AI usage

  • Avoid unexpected spikes in assist consumption

It's not about limiting AI, it's about using it wisely.

My Two cents on this: 

Now Assist is changing the way people work in ServiceNow by making everyday tasks faster and smarter. Whether it's summarizing records, generating knowledge articles, creating workflows, or building applications, AI is becoming a valuable part of the platform.

Understanding Assists helps you make the most of these features without being caught off guard by usage. Think of assists as the fuel that powers your AI capabilities. Simple tasks use a little fuel, while more advanced features naturally require more.

Once you understand how assists work, planning AI adoption becomes much easier and you'll know exactly why generating an entire application isn't priced the same as asking AI to summarize a support ticket.

And let's be honest, if AI is doing hours of work in just a few minutes, it's only fair that it asks for a few more assists in return. haha but not sure how this is exactly resonated with tokens. i guess that's the secret only ServiceNow knows.
