Send survey to list of recipients that are not users, contacts, consumers or accounts

Hi,

We are looking into the functionality of using surveys also for customers that we do not service with ServiceNow (i.e. their own ITSM). But it seems that we can only fill the recipient list with users that are users, contacts, consumers or accounts.

What is the easiest of sending an email from ServiceNow with the survey invite, using a external list of recipients?

Or should we send the survey-publiclink via outlook? But then we cannot use the template editor of servicenow for the emails.

Any help would be appreciated,

Bennie

Hi @Bennie dijkslag

the only way to achieve this is to make the survey public and then send the URL of this survey to external user's.

In this way, they can take survey and once you go to survey under related list you can see Guest user assessment instance's created. Whenever the URL is hit the instance will be created for Guest user.

If I have answered your question, please mark my response as correct and helpful so that this thread can be closed and others can be benefited by this.

Thank you very much

Cheers
Alberto

Hi Alberto,

Thanks for your reply, But then it would not be possible to send the email-link from within ServiceNow, using the ServiceNow template editor.

Seems we will have to add the external list to the user database and use the same list again as a recipient list.

@Bennie dijkslag What was the solution you went with? I have a similar ask from a customer.

Hi @RodGallegos - From my mind I think we went with the option of uploading seperate recipient lists for those surveys.
