ahoy @shubhampari,

there was workflow editor which was replaced by flow designer and it was later renamed to workflow studio 😄 when you say workflow which of them do you mean - the legacy or the newer one? :))

Both are having trigger, then conditions and after passing the conditions defined actions are taken. Difference is in the configuration of each.

Example: A catalog item (form on the Portal) is submitted - Flow is triggered, then it checks for the price of the value, if it is less than 1000 USD then no approval is required and the item is approved and ready to delivered by assigning corresponding team (e.g. based on location), if it is more than 1000 USD then it will be submitter's manager to approve/reject.

It is difficult to explain from zero, I would recommend you to take courses from SN University or Docs:

Workflow editor (legacy)Flow Designer (more recent and recommended to use)

Hi @shubhampari

Workflow is the legacy automation engine in ServiceNow and has now been replaced by Flow Designer, the modern automation solution within the ServiceNow ecosystem.

Flow Designer is the recommended and best approach for automating business processes across the platform. Whether it's Requests, Changes, Problems, Incidents, or other record-based processes, Flow Designer enables organizations to automate tasks, approvals, notifications, integrations, and much more.

As part of ServiceNow's low-code/no-code platform, Flow Designer allows both developers and process owners to build powerful automations with minimal scripting, making application development faster, easier, and more maintainable.

Flow Designer is an important capability to learn for anyone working with ServiceNow. If you'd like to learn more about it, here is a helpful resource:

  • Flow Designer is a user interface for creating and managing flows, subflows, and actions. Users with the Flow Designer or admin role can access it via the All menu under Process Automation > Flow Designer. The interface allows you to view and edit flows, subflows, actions, and execution details, and provides access to documentation, videos, and community resources .
  • Key concepts include: spokes (scoped applications with custom actions), reusable actions and subflows, publishing requirements for actions and subflows, and flow logic for assigning outputs .

Hi @shubhampari

What is Workflow?

Workflow management is the process of designing, documenting, and optimizing the sequence of tasks required to complete a specific activity. It involves using systems and strategies to enhance efficiency, maintain consistency, and track progress, ensuring tasks are completed accurately and on time.

We use Flow Designer over legacy Workflow because it provides a modern, intuitive, low-code interface that enables users of all skill levels to automate tasks, record operations, and handle approvals without writing extensive code. It is highly upgrade-safe and offers powerful features like built-in error handling and seamless integrations.

ServiceNow views Flow Designer as its strategic, default engine for all new process automation.

Why Flow/Workflow is important?

  • Enforces strict, predefined steps for incident management, change management, service request or approvals, reducing human error and ensuring every request is handled the exact same way every time
  • Allows IT and management to track the exact status of processes, making it easy to spot bottlenecks and optimize performance
  • Automatically triggers tasks, updates records, and routes tickets so staff don't have to forward emails or track down status updates manually.
  • Leverages modern tools like ServiceNow Flow Designer to build low-code processes, allowing businesses to scale their services without overwhelming their technical or IT teams
  • Automatically routes high-value or specific requests to the correct personnel and sends instant notifications

Hello @shubhampari ,

A Workflow in ServiceNow is a visual flowchart used to automate business processes such as ticket routing, approvals, notifications, and many other tasks. However, ServiceNow now recommends using Flow Designer, which provides the same automation capabilities with a more modern approach. Flow Designer follows a low-code/no-code concept, making it easier for both developers and administrators to build and manage automations with minimal scripting. Automation plays a key role in ServiceNow by reducing manual effort, improving efficiency, and streamlining business processes.
