Default project document templates - where do they live?

Joe Governali

We're looking to get started using document templates through the project workspace and can't seem to figure-out where the default templates live in the system.  I would expect that they could be found under Document Templates / All Document Templates but no luck (screenshot "All_Document_Templates" is what's here).  Also, I've created a new document template through this form and the new document template does not appear in the project workspace (can be seen in "all_Document_Templates" screenshot - "BCM Stakeholder Register" document template doesn't appear in the project workspace documents section as an available template).  I've done a bunch of digging-around but haven't yet located documentation covering this aspect of project workspace / document management.  Any advice would be appreciated.  Thank you!

Joe, the templates you are looking for might be in the sn_doc_page_template the table. I believe these are word document as described in the SN doc Create a status report template in Project Workspace. Are these what you are looking for?

What I have not been able to figure out about them, though, is how to edit the templates? It seems like I can edit them and put a URL. But some of the OOB project document templates, for example Default status report, seem like they have individual table fields embedded in them, and I have been looking for the way to edit those or create new ones. Any thoughts?

It turns out that editing the form can be done from the project workspace, but the methods to do so aren't documented and aren't immediately obvious. If you try to click on a data field (with a lightning bolt) in the template to edit the value, it doesn't work. You can enter the delete key on your keyboard, or click on the end of the field and hit backspace; then you can enter a forward slash (/), which will bring pop up a list of data fields and other info that you can populate into the document. You can also enter a forward slash in any blank spot in the document, to create a table or enter a data field there. If you click a cell in an existing table, there will be a small little box with three dots that appears above the table, that you can use to add rows, etc.

Ok - easy answer is to just edit them via the project workspace - open a project, navigate to "Docs" and then select the template via the "Create a page" selection - select "View details" and then you should be able to edit the template.  Expect some security setup is likely need to avoid mistaken editing of templates.

Thanks Joe. I can edit some status templates this way, like Project Brief, Project Charter, and Meeting Notes. All of these templates are of type Project Docs. But I still haven't found a good way to edit the Default status report template, which is of type Project status report. And for both types, it's unclear how to add or edit a field that pulls from a table; the Default status report template does this.

Ok, today I found the "documents" button on the left-hand side of the project workspace (appears once you are in a project) - if you click this button you are taken to a page where you can create / modify / delete templates.  There doesn't appear to be a way to copy existing templates here - I think the only way to copy a template is to access the table ( sn_doc_page_template ) and use "insert" or "insert and stay" to accomplish.  Interestingly if you click the information button (small "i" in a circle appearing to left of checkboxes) for a given template on the "Doc Templates" page within project workspace a blue banner appears in the related window stating, "Alert level: info.

This form has not been configured for Workspace. To edit the form, select a different type of record, or contact your administrator."  I get the sense that the ability to edit dynamic forms either isn't available outside of direct JSON manipulation through viewing a template via the table or the ability is buried somewhere else in the system.  Given knowledge of tables and fields it should be possible to update the JSON directly to provide the desired template - but - relegates this activity to admin / developer resources.

Hello @Namita Mishra , would it be please possible to share some video or example on how to create a new status report template? Where/How can be defined what fields from the status report table are to be present in the template? It is not clear from this document how it is expected to work. Create a status report template in Project Workspace

Thank you very much.
