Duplicate time card and expense lines are created when weeks crosses months.

Hi,

We have seen that there are duplicate expense lines and time cards are created when weeks crosses months .

example for the week starting from 27th sep 2021.

Is there a way to improvise this?

Hi @Shyna ,

When a week crosses months, system segregates the time card & expense line for each month. This is OOTB behaviour. The logic behind this is to provide the correct time & cost for every month.

FYI, when a time card for a project task is approved, an expense line is generated for the corresponding labor cost associated with that project.

For example: In your example if a user submits the timecard for the week of Sep 27, 2021 then two entries will be created. One for Mon, Sep 27 - Thu, Sep 30; and the other one will be for Friday, Oct 1, 2021. This is to ensure that time is correctly accumulated for every month.

Similarly on approving the timecard, the cost for 4 days i.e. Sep 27 - Sep 30, 2021 should be considered in September & 1 day cost i.e. for Oct 1, 2021 should be considered in October hence two expense lines are created - one for Sep 27 - Sep 30, 2021 and another for Oct 1, 2021.

Hope this clarifies the need of creating two timecard & two expense line entries when a week crosses across two months.

Good day, Namita,

Testing this in Utah, Patch 7b, we do not see the same functionality as described here in your post.

Rather, given a scenario such as Dec 31, 2023 - Jan 6, 2024, only one time card is generated. When creating a time card, we start at 'X' date, Sunday (Dec 31) + 6 days. This means that Dec 31, Jan 1, Jan 2, Jan 3, Jan 4, Jan 5, and Jan 6 would be included in one time card.

If you are able to reproduce this double time-card Out of Box (OOB) (one time card for Dec 31, another, separate time card for Jan 1-Jan 6), please share your exact, detailed steps to reproduce so that we can avoid customer confusion going forward.

Thank you!

Hi @Erik E_ ,

When time card is for a week which is across two months, then to calculate the actual cost in the right month, two expense lines are created - one for each month.

Unfortunately, i do not have the Utah patch 7 but I have created the recording to showcase the behaviour using Utah patch 9.

Please mark this as correct answer, if it is useful..

Wish you Merry Christmas and a Very Happy 2024.

Thank You!
