Hello,

I am looking to add multiple requested items to an order guide to be fulfilled by a specific group after the order guide is submitted.

 

For example, I would like a hiring manager to be able to submit a New Hire order guide from the portal with specific account requirements. After submitted, I would like another requested item to be opened and assigned to Tech Support in order to fulfill the account requirements requested item and have it attach to the same request. So far I only see you're able to add requested items to rule base but you can't have one run after the other is submitted. It requires you to fill out both then submit the order guide.

You can use a combination of Order Guide, Workflow, and Catalog Task. Here's an outline of the steps involved:

  1. Create an Order Guide:

    • Create an Order Guide with the initial requested item for the hiring manager, which includes the specific account requirements.
    • Configure the Order Guide to assign the initial requested item to the hiring manager or a specific group responsible for that task.
  2. Create a Workflow:

    • Create a Workflow that gets triggered when the Order Guide is submitted.
    • In the Workflow, add a sequence of activities to handle the sequential fulfillment process.
    • The first activity can be an Approval activity or a Task activity assigned to the Tech Support group.
    • After the initial requested item is fulfilled, configure the Workflow to automatically create a Catalog Task for the Tech Support group.
  3. Configure Catalog Task:

    • Customize the Catalog Task form to include the necessary fields for the Tech Support group to fulfill the account requirements.
    • Define the appropriate workflow and assignment rules for the Catalog Task to ensure it is assigned to the Tech Support group.

With this setup, when the hiring manager submits the New Hire order guide, the Workflow is triggered. The Workflow will handle the sequential fulfillment process by assigning the initial requested item to the hiring manager or a specific group. After that, the Workflow will create a Catalog Task assigned to the Tech Support group to fulfill the account requirements. This Catalog Task will be attached to the same request.
