For a Release Management story, we have a requirement where all roles that have access to a Release should be able to view SAP Transports linked to the Changes that are part of that Release.
We want to show a list of Changes with their corresponding SAP Transports — either as a separate related list under the Release or inside each Change Request.
Additionally, within the list, SAP Transports should be grouped per Change, and the following details should be displayed:
SAP Transport Number
Phase
Transport Type
Transport Requester
As I'm totally new to Release Management, could anyone please suggest the best approach or configuration to achieve this
FYI- We already have created custom table -
Table exists: u_sap_transport_request

You can create a reference field on the Change Request table that links to your custom u_sap_transport_request table, and then configure a related list on the Release form to show the linked Change Requests; within each Change Request, you can further customize the list layout to display the SAP Transport details such as the Transport Number, Phase, Transport Type, and Transport Requester, and to group the SAP Transports by Change, you can either use a UI Page or a Client Script for grouping, or automate the linking using Business Rules or Flows, while ensuring proper role based access control so that the right users can view the related records, providing a clear and organized view of the SAP Transports associated with each Change in a Release........

Hi @Pratiksha KC ,
Best Approach to Show SAP Transports with Changes in a Release
Data Model and Relationships
You already have a custom table u_sap_transport_request to store SAP Transports.
Ensure this table has a reference field to the Change Request table (change_request) so each SAP Transport is linked to its Change.
Change requests are linked to a Release through the standard Release → Change correlation.
Displaying SAP Transports Per Change in Release
You want to surface SAP Transports grouped by Change:
As a related list under Release showing Changes and their SAP Transports grouped.
Or inside each Change Request showing the linked SAP Transports.
Implementation Details
Option A: On Release Form – Related List with Grouping
Create a custom related list on the Release form:
This related list should display Change records linked to the Release.
Each Change record’s SAP Transports should be shown as a nested related list or grouped view.
This can be done by creating a Report or a List Collector that supports grouping by Change and displays the SAP Transport fields (Number, Phase, Transport Type, Requester).
Alternatively, a custom UI Page or Workspace Table component can be built to show this hierarchical list grouped by Change.
Option B: On Change Request Form – Related List of SAP Transports
Add the u_sap_transport_request table as a related list on the Change Request form:
This will natively show all SAP Transports associated with that Change.
Configure the related list columns to show:
SAP Transport Number
Phase
Transport Type
Transport Requester
Additional Recommendations
Use the built-in Related List Layout editor in ServiceNow to configure the columns shown in the SAP Transport related list.
If deeper grouping or filtering is needed, consider reporting/dashboards or custom components (e.g., in Now Experience UI Builder).
If viewing all SAP Transports per Release grouped by Change is critical, a custom Many-to-Many or custom aggregation table/report might also be used.
Summary
Link your u_sap_transport_request records to Change Requests.
Add SAP Transport as related list on Change forms for detailed per-change transport view.
For full Release-level view, use reports, customized related lists, or UI Builder components to group SAP Transports under Changes.
This approach leverages ServiceNow’s native related lists and reporting capabilities, minimizing custom development.
please mark the answer as correct and helpful based on the impact!!
