As hybrid work continues to evolve, organizations face the challenge of helping employees plan intentional and productive time in the office. Many employees struggle to coordinate schedules, understand when teammates will be onsite, or book spaces that support meaningful collaboration. The Workplace Collaboration Agent addresses this by providing an AI experience that simplifies days in the office.
The agent helps employees make the most of their time in the office by streamlining how they coordinate with their teams. Instead of guessing when colleagues will be onsite or juggling calendars, employees can ask the agent for insights such as the best days to come in, which teammates will be available, and which spaces best support effective collaboration.
This new feature transforms the Workplace Experience by delivering three key advantages:
- Suggests the best days to work in office based on who employees collaborate with most. Using meeting history, employee presence and colleague reservations, it helps employees maximize collaboration with their teams and make every office day count.
- When employees request a desk near a specific colleague, the agent searches available spaces, identifies the best options, and completes the booking in seconds.
- Makes it easy for employees to coordinate with colleagues, even when they only provide minimal details. If someone asks, “When is Alex in the office?” the agent identifies the right colleague using interaction patterns, confirms if there are multiple possibilities, and then shares their availability or reserves a nearby space.
These benefits show how the agent improves the workplace experience by bringing intelligence, simplicity, and collaboration into one conversation flow.
The January 2026 release delivers the following capabilities:
- Smarter Reservations
Employees can ask questions such as: “What’s the best day to be in the office?” and the agent analyzes employee and colleague presence data to recommend the day with the highest collaboration potential.
Employees can also ask the agent for a colleague’s in-office schedule even if they provide only limited information. The agent will identify potential matches and confirm the correct colleague with the employee.
Once confirmed, the agent will retrieve the colleague’s in-office routine and share the details.
The employee then can keep the conversation going and request the agent to make reservations near the colleague for multiple days.
- Book a Space Near Collaborators
Employees can also easily make requests to find a space near a collaborator, such as:
“Book a workspace near Carol”
The agent will:
- Validate Carol’s expected in-office days.
- Determine the best opportunity for collaboration.
- Suggest space options closest to that colleague.
Once the agent has suggested a space and date for collaboration, the employee can confirm, ask for a different option or even change the search criteria.
Once the employee is satisfied with the suggested workspace, they can confirm the reservation, and the agent will then finalize the booking and provide the reservation details along with a direct link for easy access.
- Find Out Who Will Be in Office
To help employees plan productive in-office days, the agent can answer questions such as: “Who will be in the office next Week?”
The agent returns a list of colleagues scheduled to be onsite.
Employees can then continue the interaction by asking “Reserve me a desk near them.” The agent can identify the right available spaces and finalize the booking.
