Invitee Availability for Reservations
Prior to this release, coordinating a meeting required employees to check calendars in one tool and complete the booking in another, a fragmented experience that frequently led to scheduling conflicts and underutilized spaces. Invitee availability changes that by integrating real-time calendar data directly into the reservation flow. For the first time, employees can view colleague schedules, surface the best time to meet, and confirm a space all in a single experience. This section walks through the full flow and the scenarios it supports.
How it works
Note: To use the invitee availability enhancements, it is required to have Exchange online enabled. This feature does not currently support Google Calendar
- Start a new reservation From the Workplace portal, navigate to the reservations module and initiate a new booking. Select the desired date and space type to begin.
- Add invitees: The reservation form includes an “Add Invitees” section where colleagues can be searched by name and added to the booking. Multiple invitees can be added simultaneously.
- Review invitee availability: Once invitees are added, each person's availability is surfaced for the selected date free, busy, or out of office alongside suggested time slots across upcoming days. Suggestions are shown based on the highest level of availability of the invitees. Customers can determine the minimum availability on their own, and it is set to 60% out of the box.
- Select an alternative time slot: Selecting a suggested time slot updates the reservation details automatically. No manual adjustments are needed.
- Select a space and confirm: Once a time slot and invitees are confirmed, the employee proceeds to space selection and submits the reservation. The confirmed booking reflects the selected time, all invitees, and any external visitors, which can still be done through the reservation page
Additional Considerations
- Availability data is sourced from Exchange Online integrations. If an invitee's calendar is not connected or accessible, their availability will not be displayed the reservation can still be completed without it.
- The availability suggestion window is governed by the organization's configured maximum days for multi-day reservations. If this value is set to fewer than 7 days, the suggestion window will reflect that limit which is set to 24 hours. For recurring series, the availability of the invitees will only be displayed for the first occurrence.
- Invitee availability can be enabled per reservable module, allowing organizations to offer the feature selectively for example, for meeting rooms but not individual desks.

Advanced Recurring Reservation Patterns
Previously, recurring reservations in Workplace Service Delivery were limited to a basic checkbox with minimal repeat options such as daily, weekly, or monthly, with no ability to define multi-day combinations, week-of-month patterns, or end-of-month schedules.
Employees with more nuanced recurring needs were left to create manual
workarounds or rebook spaces repeatedly. This release replaces that model entirely. A structured preset selector covers the most common scheduling patterns out of the box, while a fully customizable editor handles more complex needs, giving employees precise control over how and when their bookings repeat. This section covers the full range of options and how the experience works end to end.
How it works
- Open the recurrence selector When creating a reservation, the recurrence drop-down appears in the scheduling section. This replaces the previous basic checkbox with a structured selector that includes five preset options.
- Select a preset pattern: Employees can select from the following presets based on their scheduling need. For straightforward patterns, a preset alone may be sufficient without further customization

- Refine in the custom editor: Selecting any preset automatically opens the custom recurrence editor, where the pattern can be adjusted further. The editor supports the following configurations:
- Daily: Define a custom repeat interval, such as every 2 days.
- Weekly: Select any combination of weekdays, such as every Monday and Thursday.
- Monthly: Choose a specific date of the month, the last day of the month, or a week-and-day combination such as the second Tuesday of every month.

- Review the recurrence summary: Prior to submission, a plain-language summary of the full recurrence pattern is displayed. For example, "Repeats weekly on Tuesday until 25.08.2026” This provides a clear final confirmation of the defined pattern before the series is created.
- Complete the reservation: Once confirmed, the employee proceeds to space selection and submits the reservation. All occurrences in the series are generated in a single action.
Additional Considerations
- All presets open the custom recurrence editor automatically, allowing employees to start from a preset and refine the pattern before submitting.
- Monthly recurrences set to a specific date will skip months where that date does not exist, rather than defaulting to an adjacent date. The "last day of month" option is recommended for end-of-month bookings, as it accounts for varying month lengths automatically.
- The recurrence summary updates in real time as selections are made in the custom editor, providing immediate confirmation of the defined pattern.
- All recurrence patterns are bounded by the organization's configured maximum occurrences and maximum days in the future.
- Exchange Online only: When a virtual meeting provider is active, recurring reservations sync as individual occurrences, not as a true recurring series. To sync a true recurring reservation, no virtual meeting provider can be active, meaning no meeting links should be added.
