Workplace Reservation Management
1. Mandate all-day reservations at the reservable module level
On the ‘Reservable Module Configuration’ tab, if Allow whole day reservation check box is checked, you now have an option to make all day reservations mandatory for all the spaces in that reservation module.
This can be done through the new Require all day reservations checkbox.
If Require all day reservations is checked, while making or updating a reservation, the All day option is enabled by default on the reservation portal and is not editable by end users.
Additionally, a message is displayed on the search page instructing users that they must reserve a space for the entire day.
Employees can modify the Start date but not the time on the reservation portal.
Additional details can be found on the Product documentation here.
Note: Require all day configuration will only impact the web experience for now. Support for the native mobile app will be related in the future.
2. Enable recurring reservations at the reservable module level
Previously, the Recurring reservation toggle was always visible on the WSD Search page. Starting this release:
- The Recurring reservation toggle is now a check box.
- WSD Admins now have an option to control if they want to allow recurring reservations in a module
On the ‘Reservable Module Configuration tab, you can now optionally uncheck the Allow recurring reservations checkbox to not allow end users to make a recurring reservation for spaces/ rooms in that module.
Checking or unchecking this option shows/hides the Recurring option being available as a search parameter.
Additional details can be found on the Product documentation here.
Note: Recurring reservations are only available in the web experience currently.
3. Display floor search parameter at the reservable module level
Previously, the floor search option was always available. Starting this release, you can now optionally enable/ disable the ability to search by floor on the WSD search page using the Enable floor-based search option on the ‘Reservable Module Configuration’ tab
Additional details can be found on the Product documentation here.
Note: This configuration is web only (Quick search widget and WSD Search page). The native mobile experience will always have floor-based search enabled.
4. Securely save virtual meeting recording passcodes within reservations
If the passcode is configured for the virtual meeting provider, then in the Additional details, you can view the passcode for the meeting. Please note that only the organizer and the user specified in the 'This reservation is for' field can view the passcode.
5. Consolidate details for a recurring reservation into a single notification
When a series is reserved or canceled, consolidated notifications will be sent out to the Organizer, as well as the reservation invitees.
Note: Customers who upgrade should review their existing notifications that have been updated previously to prevent redundant emails.
The following new notifications are now available:
- Confirmed Series notifications (Notify recurring confirm reservation & Notify Invitee for recurring Reservation):
Note: If there are one or more conflicts with any reservation in the series, the confirmation notification will inform you of the conflicting occurrences.
-
- Notification with no conflicts:
-
- Notification with conflicts:
- Canceled Series notifications (Notify recurring canceled reservations & Notify invitees on series cancelation):
6. Access REST API documentation on the developer site
The developer site now has detailed information on WSD REST APIs to it easier for customers to design integrations to the ServiceNow WSD Reservation experience.
- WSD Extra Service Request API enables you to manage extra service requests for reservations.
- WSD Extra Service API enables you to retrieve extra services, such as location layouts and standard services of a workplace location.
- WSD Group Reservation API provides endpoints for managing group reservations.
- WSD Multi Reservation API provides endpoints for managing reservations with multiple workplace locations.
- WSD Recurring Reservation API provides endpoints for managing reservations that occur at the same time, but have different dates.
- WSD Reservable API retrieves details of a reservable, an entity that can be reserved, such as a workplace location, from a ServiceNow instance.
- WSD Reservation API provides endpoints for managing workplace reservations.
- WSD Reservation Invitees API provides endpoints that enable you to add invitees to reservations, fetch invitees of a reservation, and reassign invitees of a reservation.
- WSD Search API provides endpoints for search for available locations and workplace items such as reservables, reservable modules, and available shifts.
- WSD Shift API provides an endpoint that returns shift time spans for a specified date and time.
Workplace Calendar Synchronization
1. Control how a reservation must appear in the employee's calendar or while generating an iCalendar-file.
WSD Admins can now control if iCalendar files and Calendar synchronized meetings show up as ‘Busy’ or ‘Free’ through the ‘Show as’ configuration in the reservable module:
- Busy: The reservation will be displayed in the Employee's calendar with a Busy status. The employee's calendar is blocked during the reservation duration.
- Free: The reservation will be displayed in the Employee's calendar with a Free status. The employee's calendar will not be blocked during the reservation duration.
2. Synchronize all types of spaces with a calendar provider, just like spaces of the type rooms.
Previously, only room records were allowed to be synced with Calendar providers. Starting this release, you can sync any spaces with a calendar provider if they have an associated email in the calendar provider, either Google or MS Exchange.
3. Push reservations to a calendar provider, and import events from Calendar Provider
As a one-time activity, you can export all your confirmed reservations to your calendar provider for synchronization. Additional details can be found here.
Indoor Mapping
1. Allow geojson source file import in Map Studio
GeoJSON is a standard format for geographic data. It usually comes from the extract of information from 3rd party mapping tools like other indoor mapping solutions or GIS solutions.
The ability to upload geojson as a source for Indoor Maps will be useful to help customers migrate data from other indoor mapping providers.
Mobile Enhancements
1. Find and get directions to others using wayfinding for Native Mobile with Indoor Mapping
Employees can find and get visual step-by-step directions to another employee based on their reservation or assigned space. Employees can also reserve spaces using an interactive map by:
- Browsing all spaces
- Browsing near a person
- Browsing by an area
Note: This feature is dependent on the Tokyo family release.
2. Manage and reserve favorite spaces in mobile
Employees can flag their favorite spaces to easily find them when making a reservation.
- Indicate spaces as favorites and manage them via map/space cards
- 'Browse favorites' reservation path exclusive to mobile. Configurable at reservable module
- Prioritize favorite spaces in quick reservation and manage them via space cards
3. Accelerate mobile reservations with pre-filled values
The following values will be pre-filled if possible, to accelerate the reservation creation process on mobile:
- The building and floor values (if required) will be set based on the following logic:
- The last used value in web or mobile (user preferences)
- The workplace profile, if available
- The value will be empty
- The start and end date of the reservation will be ‘today’
- The start time will be rounded up to the closest top or bottom of the hour
- The end time will be set to start time + 1 hour
4. Send push notifications for Workplace Reservations
Workplace Administrators can now send the following push notifications to users on their mobile devices to alert them about important events and ask them to perform an action (Notification names in parenthesis):
- Reservation is about to start
- Reservation is about to start in a few minutes
- Reservation is about to end
- Reservation is ready for check-in
- Reservation is ready for check-out
- Reservation started but pending check-in
- Reservation ended but pending check-out
- Reservation created for you by someone else
- Reservation created for you by someone else is updated
- Reservation is canceled due to delayed check-in
Notifications will be triggered when creating or updating a reservation, or from one of two scheduled jobs that check for upcoming events on reservations. The scheduled jobs are seeded to run every 30 minutes. These jobs are:
- Trigger mobile push notifications for upcoming reservation events - (New)
- Check-in/out reminder - (Updated/Enhanced)
Considerations:
- Dependency on the Tokyo family release
- Users must be logged into the Now Mobile app to receive the push notifications
- Push notifications are sent in English language.
- Supports both iOS & Android versions.
For additional details on the features noted above, please refer to the Product documentation.
