Need to understand usage of Facilities Work Order Sync State in cancel functionality

Could you help clarify the purpose of the following fields in the Workplace Case and Workplace Task tables?

  • Facilities Work Order Sync State
  • Facilities Management Provider
  • Facilities Work Order ID

We have observed that the Cancel action is not working in some cases, and it appears to be related to these fields. We would like to understand:

  1. The functional usage of each of these fields.
  2. Why the cancellation of a Workplace Case or Workplace Task depends on the value of the Facilities Work Order Sync State field.
  3. What impact these fields have on the cancel process and under what conditions they can prevent a case or task from being canceled.

This information will help us investigate why the Cancel button behaves differently across records and instances.

Hi Vijayaguru,
These fields are part of the Integrated Facilities Management (IFM) Integration Framework and are used to maintain the relationship between the Workplace Case/Task and the external FM provider's work order.

  • Facilities Management Provider – identifies the external FM provider to which the case/task is routed. The provider record also determines which create, update, and cancel flows are used.
  • Facilities Work Order ID – stores the work order ID returned by the external FM system. This ID is subsequently used to identify the external work order when updates or cancellation requests are sent.
  • Facilities Work Order Sync State – tracks the synchronization/integration status between the ServiceNow record and the external work order. For example, a failure during work-order creation can result in a Create Failed integration state.

For the Cancel action, the important point is that cancellation is not simply a local state change. Once the case/task has been synchronized, ServiceNow uses the configured Cancel Work Order Flow to send the cancellation request to the external FM provider.

Also check the Workplace Task Sync History for the response code/message if the cancellation is failing at the integration layer. The IFM framework records integration failures there for troubleshooting.

This should help determine whether the issue is with the ServiceNow cancellation logic or with the outbound FM provider integration.
