Subscription groups and subscription users in Subscription Management

Hello Community,
I just wanted to know how Subscribed groups and Subscribed users work in Subscription Management. When I add many groups and users in it. The count of subscribed users doesn't match with the group's users. The count differs from subs. groups and subs. users. How is it counting and how the licensing works here?

Can anyone help me out with this?

Hi @Sneha KH ,

This is a very complex topic to understand and work 😂

Let me try explaining by what i have experienced and worked :

 

  • Subscribed Groups: These are the groups that you add to a product subscription. When you add a group, all the users who are members of that group become eligible to get access to that subscription.
  • Subscribed Users: These are the actual active users who are assigned to the subscription after ServiceNow checks all the subscribed groups. If the same user is present in multiple groups, they are counted only once.

Just consider following points:

 

 

  • If a User  belongs to multiple subscribed groups that are linked to the same subscription, the user is counted only once in the total subscribed user count.
  • If a user has roles associated with different product subscriptions (for example, ITSM and CSM), the user is counted once for each applicable subscription.
  • ServiceNow evaluates user-based license compliance by scanning the instance for specific access roles (such as the ITIL ole for fulfillers) that are mapped to individual products.
  • Adding a group to a subscription designates all active members of that group as consumers of the associated purchased license pool
