This question lacks information. We don't know your CMDB. What needs optimizing? Where are you with your CMDB? The start would be configuring the CMDB Health dashboard, but we don't know anything about your instance. Maybe that is already done? Why are you optimizing?
Please mark any helpful or correct solutions as such. That helps others find their solutions.

Hi Mark,
I want to know the common things that we can do with CMDB to optimize it,
Data Completeness
Performance and scalability
Process Integration
Governance and Policies
Integration with Other Tools
Reporting and Analytics
User Training and Adoption
Continuous Improvement.
Can these points have some valid options of optimizing a CMDB.there is a detail of all points mentioned above.
Optimizing a ServiceNow Configuration Management Database (CMDB) involves several key steps to ensure data accuracy, completeness, and usefulness for IT service management. Here are some essential needs and steps for CMDB optimization:
- Data Accuracy and Integrity
- Automated Discovery: Utilize ServiceNow Discovery or other automated tools to regularly update and validate the data.
- Regular Audits: Conduct periodic audits to identify and rectify discrepancies.
- Normalization and Reconciliation: Implement processes to standardize data entries and reconcile duplicates.
- Data Completeness
- Comprehensive Data Collection: Ensure all relevant Configuration Items (CIs) are captured, including hardware, software, and network components.
- Dependency Mapping: Maintain accurate relationships and dependencies between CIs to support impact analysis and change management.
- Performance and Scalability
- Database Optimization: Regularly perform database tuning and optimization to handle large volumes of data efficiently.
- Efficient Queries: Optimize queries and reports to minimize performance impact on the system.
- Process Integration
- ITIL Alignment: Align CMDB processes with ITIL best practices to support incident, problem, change, and release management.
- Automation: Automate workflows for CI creation, updates, and decommissioning to reduce manual errors and improve efficiency.
- User Training and Adoption
- Training Programs: Provide comprehensive training for users to ensure proper use and maintenance of the CMDB.
- User Engagement: Encourage user feedback and continuous improvement based on their experiences and needs.
- Governance and Policies
- Governance Framework: Establish a governance framework to define roles, responsibilities, and policies for CMDB management.
- Access Controls: Implement strict access controls to ensure data security and integrity.
- Reporting and Analytics
- Custom Dashboards: Create custom dashboards and reports to provide insights into the health and status of the CMDB.
- Analytics Tools: Use analytics tools to identify trends, patterns, and areas for improvement.
- Integration with Other Tools
- API Integrations: Integrate the CMDB with other IT management tools, such as monitoring systems, asset management, and service desk software.
- Data Import/Export: Facilitate easy import and export of data to and from the CMDB for broader use across the organization.
- Continuous Improvement
- Feedback Loops: Establish feedback loops to continuously gather input from users and stakeholders.
- Regular Reviews: Conduct regular reviews of the CMDB processes and data to identify opportunities for improvement.
Implementing these strategies can help ensure that the ServiceNow CMDB is optimized for accuracy, performance, and value to the organization.
your comments have a lot of value to me. Thankyou.

Hi @Pradeepkr
Here are key aspects to consider for CMDB optimization along with methods:
CSDM Alignment:
- Use of CSDM Data Foundations Dashboard: If the CMDB and CSDM Data Foundations Dashboard plugin is activated, utilize this dashboard to gain insights on improving CSDM alignment. It includes metrics and URLs to detailed playbooks on enhancing these metrics.
- Understanding CSDM: Before making optimization recommendations, thoroughly read the CSDM 4.0 white paper to understand its guidelines.
- Data Analysis: Analyze the data already populated in various CMDB tables, particularly those related to services. Engage with service owners and application owners to ensure the data is correctly populated according to CSDM 4.0 guidelines.
CMDB Data Quality:
- CMDB Data Foundations Dashboard: Use this dashboard to get insights on improving CMDB data quality.
- CMDB Health Metrics: Configure health metrics for completeness, correctness, and compliance to identify data quality issues such as missing data, duplicate CIs, stale CIs, and orphan CIs. The CMDB health dashboard provides insights on these issues.
- Remediation Methods: Implement deduplication tasks to address duplicate CIs. Refine identification rules for CI classes with high numbers of duplicates and set reconciliation rules for CI classes populated by multiple methods. For more information, refer to the identification and reconciliation engine (IRE).
CMDB Governance:
- Documentation: Maintain detailed documentation covering CMDB processes, procedures, policies, CI lifecycle management, RACI for ongoing management, key CI classes, data population methods, naming conventions, access rights, interaction with other processes, audit methodology, and reporting & dashboards.
- CI Class Ownership: Identify owners for each CI class populated in the CMDB. Use data certification for periodic validation of critical attributes, especially those populated manually in important CI classes.
CMDB Automation:
- Automated Data Population: Automate CMDB data population using ServiceNow Discovery and integration with third-party tools (e.g., SCCM, Intune, JamF). Use the Service Graph Connector for integrations as it utilizes the Identification and Reconciliation Engine (IRE).
- Bulk Manual Data Imports: For bulk manual data imports, use Integration Hub ETL, which also goes through the IRE.
Asset & CI Management:
- Definition and Synchronization: Clearly define what will be managed primarily as an asset and what as a CI. Establish synchronization of Asset-CI attributes and statuses according to organizational requirements.
