Steps for Record Archiving:
1️⃣ Go to System Archiving > Archive Rules.
You can specify which records should be stored (for example, close incidents older than one year).

2️⃣ Create a new archive rule.
To begin creating a new archive rule, click New.
Define the table you wish to archive records from (for example, Incident, Problem).
Set your conditions (e.g., state is closed, created more than a year ago).

3️⃣ Configure archiving options.
Select whether to delete attachments or move them to the archive as well.
Select the Retain Archive Data checkbox to specify how long archived records should be kept.

4️⃣ Test Your Rule: Before triggering the rule, use Test Run to ensure it archives the correct data.

5️⃣ Activate and watch: Once tested, activate your rule and watch the archiving process in the Archiving Log to verify seamless operation.

Pro Tip: Archived records are maintained in different tables, but may be instantly retrieved with a single query.

When Archiving Is Useful:
Records of issues and incidents that are more than a year old.
requests for changes that were denied after more than six months.
transaction history or audit logs that are no longer required for daily operations.
