Demand Screening Process

 

After completing all required information on the Demand form, the Demand Manager can move the Demand to the Screening stage.

When the Demand is moved to Screening:

  • Assessment forms are automatically triggered for stakeholders.
  • Each stakeholder receives a notification prompting them to complete the assessment.
    • Strategic Demands leverage Risk and Strategic Alignment assessments to support demand evaluation.
    • Operational Demands focus on Risk assessment only.
  • Assessments have a standard validity period of 14 days.
    • Stakeholders can no longer submit the assessment once expired.
  • Once all generated stakeholder assessments are submitted, the Demand automatically moves to the Qualified state.

Stakeholder Registry

  • Stakeholders may or may not be associated with a Portfolio. Each Portfolio can have multiple stakeholders.
  • Stakeholders are maintained in the Stakeholder Registry Table.

How Stakeholders Are Added to a Demand

If a Portfolio is selected on the Demand, the associated Portfolio stakeholders are automatically added.

Additional stakeholders can be manually added through the Stakeholders related list on the Demand record.

 

Add Existing stakeholders – Users who are already registered as stakeholders can be manually added to the Demand.

 

Create Stakeholder – If the person is not already registered as a stakeholder, you can create them as a new stakeholder.
This action will create a new record for them in the Stakeholder Registry table, after which they can be associated with the Demand.

 

Note:- If required, a stakeholder can be excluded from receiving an assessment by setting the Assessment Recipient field to No.

 

Assessment Instance

The Assessment Instance related tab on the Demand form displays the individual assessments generated for each stakeholder. It allows the Demand Manager to:

  • View the stakeholder’s assessment responses
  • Check the status of the assessment (Pending, Completed, or Expired)
  • See the due date for the assessment.

 

This provides full visibility into who has responded and whether any follow-ups are required.

Assessment Result Breakdown
Once all assessments are submitted, the results are reflected in the Assessment Results tab.

At this stage:

  • The calculated rating for each evaluation metric (whether derived from stakeholder assessments or captured directly on the Demand form) is displayed.
  • The metric ratings are normalized to ensure consistent and fair evaluation across all criteria.
  • The ratings are then used to generate the final Demand Score.

 

Demand Metrics

Out of the five Demand metrics configured in the system, only three are used for calculating the final Demand Score:

  • Risk
  • Size
  • Value (calculated based on ROI and Impact)

The remaining metrics are used for evaluation and analysis purposes only. They provide additional insights to support decision-making but do not contribute to the Demand Score calculation.

This approach ensures that prioritization is driven specifically by the core factors of risk, effort, and value, while still allowing broader evaluation criteria to be considered during review discussions.

 

Demand Scoring

Demand Scoring is a critical process that enables objective evaluation and comparison of demands. It helps stakeholders prioritize initiatives based on measurable criteria rather than subjective judgment.

 

  • Demand Scoring is calculated based on three primary metrics:
    • Risk, Value (ROI & Impact), T-Shirt Size
  • Higher scores are preferable, as they indicate:
    • Lower risk
    • Higher business value
    • Smaller implementation effort

Once the Demand moves to the Qualified state, the Demand Score is automatically calculated. The calculated score is reflected in the Score field under the Assessment Data tab on the Demand form.
