Hi Everyone,

How can I edit the Title/short description of an existing KB Article. Does it require any extra roles or they cannot be edited or is there something else.
Kindly help me with this.

Hi @jkhanddh ,

The title is the Short description field on the kb_knowledge record, and you don't need any extra role to change it. The knowledge role plus "Can contribute" user criteria on that knowledge base is enough. What usually makes it look locked is article versioning, which is on by default when Knowledge Management Advanced is active.

With versioning on, you can't edit a published article in place. Open it from Knowledge > Articles > Published, click Checkout, change Short description on the new draft version, then Publish. Readers only see the new title once that version is published, so if the knowledge base uses the approval workflow it'll wait for approval first. If versioning is off (glide.knowman.versioning.enabled = false), you can just click Edit, change it and Update.

If there's no Checkout button, ownership groups are the usual culprit. When glide.knowman.ownership_group.enabled is true and the article has an ownership group, only members of that group can contribute to it. Even the original author loses edit access once it's published, unless an admin sets glide.knowman.ownership_group.override to true. It's also worth checking whether someone already has the article checked out. That draft can only be edited by whoever checked it out, the KB owner or a knowledge_admin, so look for an open draft in the Article Versions related list.

If you need to fix titles often and don't want a new version every time, an admin can set glide.knowman.versioning.enable_minor_edits to true and add short_description to glide.knowman.versioning.minor_edit_fields. I'd be careful with that one. It applies to every knowledge base, and title changes then leave no version history. The docs use Valid to and Meta as the example minor fields, which is the more typical setup.
