Knowledge article should retire after the approval.

Hi Currently, 

In Knowledge articles whenever the user clicks on Retire, the article is going to pending retirement But my requirement is I don't want the article to go to pending retirement unless the Ownership members approve.

You would most likely have to update KBWorkflow to override KBWorkflowSNC. I would not recommend changing the knowledge workflow. Pending Retirement is a state between published and retired. It prevents user from seeing KB Articles that are most likely no longer valid. Once approved it then goes to retired and is permanently hidden from users. The out of the box flow for Knowledge is best practice for managing your knowledge base.

I think you should ask Why to whoever came up with the requirements as I think they don't understand how the system works for knowledge management.

Use this Workflow to Retire

  1. Knowledge - Retire Knowledge
  • When used: Retirement needs approval.
  • Flow: Article marked for retirement → Sent for approval → If approved, retired; else, stays published.

 

Refer KB0854515 Article retirement requests are sent to Ownership group.

Hi @Abishek1998 
1. Open knowlegde article's Knowledge base's record.
2. You will have one of the fields populated (Retire Workflow OR Retire Flow) 
3. Check the name of the flow and find it is workflow or flow designer flow 
4. Copy it and make changes you want.
5. Reference that new copied flow in knowledge base record. 

Make sure to check what other retire workflow there is and if just changing the workflow in retire workflow will fulfil your requirement.
