User Experience Analytics Dashboard - Knowledge Management

Hi all,

I have enabled User Experience Analytics for Knowledge Management, but I want to restrict users to view only the Knowledge Portal, not all other modules listed in the Applications dropdown.

From the documentation, I understand that the analytics_viewer role provides access to analytics dashboards, but it also exposes all module dashboards.

For example, the chat_analytics_viewer role restricts access to only Virtual Agent and conversational interfaces. Is there a similar role that limits access specifically to the Knowledge Portal?

I tried using the portal_analytics_viewer role, but users with this role can still see all other portal-related dashboards — not just Knowledge.

Has anyone come across this or found a way to limit access to only the Knowledge Portal dashboard?

Hello!

Currently, ServiceNow lacks a specific out-of-the-box role to restrict User Experience Analytics access solely to the Knowledge Portal dashboard. The analytics_viewer is too broad, chat_analytics_viewer is for Virtual Agent, and portal_analytics_viewer includes all portal analytics. The most likely solution involves creating a custom role with carefully configured ACLs to grant access only to the Knowledge Portal analytics data, though this is complex. Less ideal alternatives include sharing specific dashboards with restricted permissions or building dedicated reports. UI customization is generally not recommended. Consider submitting an enhancement request to ServiceNow for a more granular role.

No, there is no way to restrict this, as these are driven by roles. Even though ACLs (Access Control Lists) might seem like an option, they also work with roles. Since roles are granting access for these to be used, we can't restrict them.
