Migrating to the Smart Assessment Engine (SAE) in Third-Party Risk Management (TPRM) is an important step toward modernizing your assessment workflows. This guide walks you through who can perform the migration, what to expect after enabling SAE, and how to migrate your classic questionnaire templates successfully. 

 

Which version of TPRM this document applies to 

TPRM v21.0 

 

What SAE modules are installed automatically with TPRM v21.0 

  • Smart Assessment Core (sn_smart_asmt) 
  • Smart Assessment Designer (sn_smart_asmt_desg) 
  • Smart Assessment Connected (sn_smart_asmt_conn) 
  • Reusable Impact Framework (sn_impact_fwk) 
  • Smart Assessment Migration tools (sn_smart_asmt_mig) 
  • Basic Scoring for Smart Assessments (sn_smart_scoring) 
  • Smart Assessment Collaboration (sn_smart_collab) 

 

What SAE modules are not installed automatically with TPRM v21.0 

  • Post Assessment Actions for Smart Assessments (sn_smart_imp_auto) 
  • Customers who plan to use the Post Assessment Actions feature need to install this module manually and grant the role sn_smart_imp_auto.automation_creator to TPRM admin users. 
  • Advanced Response Automation for Smart assessments (sn_smart_resp_auto) 
  • Provides some addtional functionalities to the response automation. 

 

Who Can Migrate 

Only users with the TPRM admin role (sn_vdr_risk_asmt.vendor_risk_admin) have permission to: 

  1. Turn on SAE 
  2. Create SAE questionnaire templates 
  3. Migrate classic questionnaire templates 

 

How to Turn On SAE 

  1. Navigate to: Third-Party Risk Management → Administration → Properties 
  2. Set “Smart Assessment Engine enabled” to “Yes” 

ImportantThis is a one-time switch. Once SAE is turned on, you cannot turn it off. Always test in a sub-production instance before enabling it in production. 

 

What Happens After SAE Is Turned On 

Assessments 

  • All new assessments will use SAE questionnaire templates only. 
  • Existing (in-flight) assessments will continue to work until they are closed. 

Menu Updates 

  • New in Classic UI: 
    • Assessment Setup → Classic Template Migration 
  • Removed in Classic UI: 
    • Assessment Setup → Repeating Assessments (Use the Event-Driven Rule feature instead). 
  • New in Workspace: 
    • Assessment Setup → Questionnaire Templates 
    • Questionnaire Requests → All / All Open 

 

Migrating Classic Questionnaire Templates 

  1. Go to the classic UI and open these lists: 
    1. Assessment Setup → Questionnaire Templates 
    2. Assessment Setup → Document Request Templates 
    3. Tiering Setup → Tiering Questionnaire Templates 
  2. Select one or multiple templates, then click Migrate. 

 

Before migration, please note that the following question types are not supported in SAE: 

  • Percentage: use Number type instead. 
  • Image Scale: use Radio Button type instead. 
  • Ranking: Not Supported 
  • Custom Metric: Not Supported 

Note: Convert unsupported questions before you migrate. 

 

Checking Migration Status 

  • After clicking Migrate, a status check link appears for each selected template. Follow the link to check the status of the migration. 
  • You can also check migration progress from Assessment Setup → Classic Template Migration 

 

Publishing SAE Questionnaire Templates 

After migration, review and publish your new SAE questionnaire templates. Once published: 

  • All related assessment templates are scanned. 
  • If linked to a classic template, the new SAE version is automatically added. 
  • If all linked templates under an assessment template are published, it’s marked as Supports Smart Assessment. 
  • The following automation rules are automatically updated to support SAE: 
  • Tier-based submission 
  • Provider-based submission 
  • Event-driven rules 
  • All issue generation rules linked to classic templates will also update and be marked Supports Smart Assessment. 

 

Managing Published SAE Questionnaire Templates 

  • Before an SAE questionnaire template is consumed (is used to create an assessment): You can unpublish it to edit it. 
  • After an SAE questionnaire template is consumed: You cannot edit it anymore.

Very helpful article. 

We have successfully migrated classic asssement template to SAE and triggered it.

But not sure how to take it as i cant find it in vendor workspace tasks.
