One way of providing a more detailed bulk case creation process involves setting up a transform map for it. This would take a structured Excel file and process each row in it to generate a case. As we would be using a spreadsheet and a transform map for this, we'll have control over what we want to be mapped into the case fields.

 

Here's the template I made up for this example:

It's pretty basic but offers the variations in Short Description we're looking for. I uploaded the file through Load Data in the left navigation menu to generate the Import table and Data Source. The Data Source uses the Attachment method tied to Excel format. I left everything as is with it.

The transform map was set to move the data from Source to Target with no other changes.

I used the Load Data link in the left navigation menu and ran the transform. The test produced what we were looking for, which is cases with different Short Descriptions.

A couple of considerations with this approach:

  1. Roles - You would need to potentially provide HR Agents at some level with a role to access and use the Load Data process
  2. Task Types - For this map, I specifically tested HR Services which mapped to the Payroll table. To open this up to be more universal, you may need some scripting to set the Task Type on the HR Case table.

Next we'll look at adding a Record Producer to help work around the Roles consideration.
